Summary of the Role: The contract specialists supports the ACMA both at Program and Managing Insurer level by coordinating the Contract Management related tasks. They contribute to customer satisfaction and retention by ensuring the timely and proper execution of activities related to Contract Management and accounting topics at both Managing insurer and Program manager level with a full compliancy on internal procedures, tax and legal constraints,
this includes to closely liaise and coordinate with other teams beyond geographical and functional borders to provide seamless worldwide contract servicing to the Policyholder (other teams throughout the WA, local claims teams, local finance, ...) and provide the best suited solutions in terms of contract management.
Main Tasks:
Policy Management (Contract Management, Customer Accounting):
- Controls and optimizes contract management & customer accountant compliance as regards AZ Trade processes & organization, internal rules, business rules, system, data quality
- As a Program Manager or managing insurer, ensures that the local (MNC or non MNC) Policy Management teams in each MI BU execute the PM assigned tasks during the Policy Life cycle of the managed policies, according to the SLA :
- Contract start incl. tarification and fees
- Contract and Customer management, terminations
- Turnover declarations and Premium calculations (timely transmission and escalation if needed)
- Premium base chasing to customer and/or broker
- Bonus-/Malus-calculations (including coordination with relevant BU)
- 2nd level customer request management
- Compensation, Invoicing for premium and fees, payments bookings, premium & fees aged trail balances follow-up & Dunning, payments to intermediaries, 2nd level customer request management
- Ensures contract updates (changes in adresses, in clients' bank account numbers), cash deposit refund, minimum premium complement calls, profit sharing application in cooperation with contract management teams)
- Coordinates global invoicing activities with Broker and Clients' HQ
- Able to face the Customer and the Broker during meetings
Liaison and co-ordination:
- Co-ordinate workflow to secure timely execution, liaising with other MNC functions (eg ACMA, Regional PMs etc); act as relay with Business Support
- Interact & co-ordinate with other teams beyond geographical and functional borders to provide seamless worldwide contract servicing to the Policyholder (Core and/or other teams throughout the MNC such as e.g. Commercial, Credit, local claims teams, local finance) and provide the best suited solutions in terms of contract management
- This includes to closely liaise and coordinate with Customers and Brokers at local and HQ level to understand the needs and fix the potential issues
What we are looking for:
- Good knowledge of MNC Program and policy structure
- Proactive / strong organisational and time management skills
- Advanced knowledge of MNC IT systems (PraxisPF) and Program Implementation / Policy Issue / MTA processes on a Program and local country level
- Advanced knowledge of standard clause library and clause application
- Ownership ensuring issues and tasks (inside/outside direct responsibility) are addressed and resolved
- Ability to communicate via all mediums (eg. email, phone) and at all levels of an organisation within a multicultural setting
- Advanced knowledge of standard clause library and clause application
- Competent knowledge of basic IT systems (eg. MS Word, Excel) and ability to learn new systems
