KEY RESULT AREAS AND MAIN RESPONSIBILITIES
CRM
· VIP Appointment:
· Provide assistance to all VIP appointments
· Assure proper sales environments & packaging before appointments
· VIP Appointment schedule updates
· Lunch / Tea preparation or reservation arrangement
· Product arrangement (from other boutique or overseas) and Product Information Preparation
· Create HJ Team appointment list
· VIP Event:
· Preparing & mailing Event / Routing invitation to VIPs
· Product arrangement (extra supporting products from overseas)
· Assist on Event rundown / sitting plan
· Assistance to all VIP appointments
· Coordinate with vendors supply on event float
· VIP Trip:
· Propose special activities (e.g. restaurants, activities) to Sales Teams / different Boutique managers
· Overseas trip itinerary & checklist
· Collection book / Window book Preparation
· Create and prepare VIP's Individual program
· Assist on product information (e.g. price, stone details & certificates)
· VIP activities reservation, booking & managing
· Gifts / Others:
· VIP Gift preparation and wrapping
· Gift delivery arrangement
· Coordinating with CRM department for gifting allocation
· VIP Gift Inventory Summary updates
· VIP Birthday / Anniversary bouquet ordering
· VIP Celebration personalized arrangement
· VIP Gift List update
· Establish prospect list of different related selling materials for different VIPs
· Catalogue / Collection Book mailing
· Preparing VIP Seasonal Gift List
· Assist to tailor made VIP Gift
· VIP Festival Gift arrangement
· Preparing CRM Spending Budgeting
· Outsource:
· VIP treatment sourcing (e.g. special restaurants, cake shop, pastry shop, etc.)
· New vendor sourcing (e.g. personalized gift, accessories, etc.) for VIP styling
· Coordinating with different channel suppliers (e.g. restaurants, bakery) for VIP treatments
Product
· Product:
· HJ set up Display at MO Boutique
· Develop potential Jew / watch with Supply Chain for HJ Team upcoming appointments
· HJ Team Reserve List Updates
· Quality Check for requested products
· Coordinating with Merchandising Department for VIP regular orders & special orders & request follow up
· Assist on sales pieces from supply news & HJJ routing
· Deliver appropriate Gemstones information to retails
· Repair
· Coordinating with CS for repairing
· Repair items delivery arrangement
· Coordinating with CS for VIP repair & quotation follow up
· QC for repaired items from CS
· Repair reports to Merchandising Department if defect found
· Sub-Constructor Repair Statement follow up
· Summarize VIP buying history for repair maintenance
Administrative
· Reports:
· VIP follow up list updates
· Updates HJ team sales pending
· Preparing HJ Team UPT Sales Report
· Preparing HJ Team Deposit Report
· Preparing HJ Team CRM Spending report to CRM Department
· Preparing Concur Reports for HJ Director
· CDB information updates
· Preparing HJ Team Sales Summary Review
· Preparing HJ Team Sales Report & Analysis
· Sales Tools:
· iPad information updates (e.g. new videos, product information)
· Preparing new product information
· Preparing customer presentation file (e.g. PowerPoint presentation)
· POS / Packaging / Certificates follow up
· Watch & Jewelry Price List updates
· Preparing circle book / Novelty Book / SIHH window book for new collection
· Others:
· Sold item / Art piece information preparation for premier VIPs
· Courier arrangement
DIMENSIONS
· Geographical area under responsibility: Hong Kong
· Number of point of sales: 3 internal boutiques
REQUIREMENT
· University graduate
· At least 3 years working experience in secretarial and administration support in fields of marketing, merchandising, CRM, retail operation related ideally in luxury industry
· Fluent in spoken and written English and Chinese (Cantonese & Mandarin)
· Passion about High Jewelry
· Excellent Computer skills: Word, Excel and Power Point
· Good analysis skills with positive work attitude
· Detail focus, high autonomy and demonstrate a proactive approach
· Proactive in attaining market, customer and competitor knowledge
· Excellent organizational skill, prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
