Job Position:

Inventory/Fixed Asset Accountant

Function: Finance

WL: 1D1

Reports to: Finance BP – Supply chain

Business Context and Main Purpose of the Job

a. As a member of the Supply Chain Finance section, you are sresponsible to ensuring reliability and accuracy of primarily all financial and secondly non financial information on stocks (RM, PM &FG) in the entire process.

b. Proactively identify all costs, issues and risk involving stocks and inform on its impact on business results.

c. Ensure that Capex for the acquisition of assets are properly authorised & approved. Do commercial case for projects that requires it.

d. Track all capital work-in progress and ensure that completed projects are duly capitalised every quarter to reflect the asset position of the business.

e. Ensure that depreciation charge for the period is captured in the general ledger for every month of the year and sense check numbers to ensure it's accurate.

f. Identify idle asset in the business and initiate action for provision and subsequent disposal.

g. Ensure that the Fixed Asset Register is clean by carrying out Assets Physical Verification exercise of highlight redundant & obsolete asset for subsequent approval for disposal

h. Do post evaluation (appraisal) for all Capital Expenditure above Eur 1m after one year of Capitalisation.

i. Ensure that all functional vehicles under lease are proper captured and the leasing charges for each period charged as such

Main Accountabilities

A . Stock Management

· Manage monthly stock taking exercise for both factory and distribution centre
· Reconciliation of physical inventory with sub-ledger and accurate and timely export of relevant information to general ledger.
· Identify and communicate all physical differences timeously process them for relevant authorisation and adjust thereafter in SAP
· Identify and make appropriate provisions to recognise stock losses, obsolescence and damaged stocks in the financial system as per SLOBS policy on quarterly basis.
· Put in place controls to avoid differences in stocks

B Stocks Reporting

· Support Supply Logistic Finance Business Partner in on all reporting requirement in the area of stocks(RM/PM/FG)

· Partner the Planning team in forecasting for closing stocks
· Support the Logistic Finance Business Partner with forecast material cost variance for GMVA reporting.
· Reconcile all financial accounts related to role on monthly basis
· Any other duties as may be assigned by the SCF BP from time to time.

C Capital Expenditure (Capex) and Depreciation

- Ensure Capex raised is within approved budget.

- Do commercial case for all capex that requires it

- Ensure capex goes through the right approval process in the Capex tool.

- Ensure all Capex are proper tracked using the WBS elements and ensure hard copies of evidence of spent are file for future reference and audit purposes.

- Alert stakeholders where spent on a project are up to 100% to ensure supplementary Capex are raised where necessary.

- Initiate and extract all expenditure on all completed projects to project manager for capitalisation process.

- Do a schedule of item to be capitalised and review with the Finance BP supply chain before capitalisation is done in SAP.

- Ensure that all transactions are signed off after capitalisation.

- Reconcile the CWIP report by project monthly to the GL

- Review depreciation run by the central team and ensure its consistent with asset register.

- Reconcile year-to-date depreciation from the assets register to General Ledger

D Disposal

- Extract from assets register assets identified to be disposed /write off or meant for cleanup of the asset register.

- Do permission to dispose off asset form for approval by supply chain and Finance Directors

- Do copy of approved document and give to Facility Manager for auctioning or write off

- After auctioning do asset disposal from SAP into P/L on disposal with the cash proceeds. Print from the asset register the disposal event and ensure same is updated in the ledger.

E Physical Verification of Assets

- Printout all asset by location

- Visit location with asset register. For the factory an assistance will be assigned to assist

- Identify assets to register records and tick if it exit else note all assets that does not exit including red tagged assets, redundant assets, obsolete assets etc

- Investigate and initiate process for such assets to be disposed off or write off.

- When authority is given, hand a copy to the facility manager for auctioning to be done. If write off, then it has to be immediately taken out of the asset register and a corresponding entry done in the GL.

F Fixed Assets Reconciliation

- Extract details of ledger entries to excel and sort by class of asset. Reconcile all by class of asset. This should agree with the asset register.

- Do Fixed asset schedule as the summary of the reconciliation by class of asset

- Signed off and distribute to other sections where the information is needed

Relevant Experience

· Degree in Accounting

· Good Communication Skills

· Customer service mindset

· Intermediate excel and power point

· Experience in cost control and budgeting in a manufacturing set-up

· Experience in managing fixed asset and post evaluation review

· Knowledge of SAP is essential

· Experience in fundamental accounting

· Initiative- how to develop new reports

· The person once joins will get an on the job induction on the SAP processes, organization structure, controllers documentation (Unilever guideline) on the job which may last for 3 months
