Salary: £21,600 - £27,000PA

ABOUT THE ROLE
We are looking for a Junior PA to join our team in Leatherhead supporting the Finance Leadership Team (5 Directors).
The purpose of the Junior PA will be to provide consistently professional & approachable administrative support to the Directors and the team in Leatherhead and Dublin.
KEY RESPONSIBILITIES
The key accountabilities of the Junior PA, Finance Leadership Team (FLT) are as follows:
Arranging regular internal/external team meetings via Outlook calendar, setting up audio calls as appropriate, minute taking
Organising global meetings using technologies available to deliver the most appropriate solution i.e. Telepresence, Videoconference, Live Meetings, Lync
Booking and setting-up meeting rooms/venues, organise refreshments as appropriate.
Arranging all travel, compile itineraries, including car parking/hire, airport transfers. Co-ordinating travel itineraries for visitors when needed. Book transport & hotels.
Preparing documents for meetings e.g. issuing agenda's and compiling, circulating and printing pre-reads as appropriate.
Raising of Purchase Orders and processing expenses.
Organising staff dinners and events, team building activities including being a large part of Finance Social Event Team
Screening, redirecting and responding to mail, as appropriate
Typing of general correspondence emails and reports.
Organisation of PowerPoint presentations, Excel spreadsheets and materials for meetings.
Liaison with internal customers and external contacts – developing knowledge of key individuals, including PA network
Pro-actively tackling issues related to administrative processes to ensure speed and efficiency.
ESSENTIAL EXPERIENCE, SKILLS & QUALIFICATIONS
Experience as a PA or team assistant would be beneficial but not essential.
Excellent written and oral communication skills are important, plus experience in managing office processes and where necessary, developing new approaches to meeting changing needs.
Initiative to think around how to help the Directors be as efficient as possible in using their time
Excellent in Microsoft applications including; Word, Excel and PowerPoint.
Ability to quickly acquire new IT skills to utilize key company software and systems
Strong interpersonal skills.
Trustworthy and sensitive when exposed to confidential information
Able to prioritize tasks of high complexity and have the ability to build relationships with an international network and key stakeholders across different levels in and out of the organization.
