ABOUT THE ROLE
You are responsible for the co-ordination and organisation of many aspects of the business. We will want you to ensure that the Operations run smoothly, whilst producing reports that clearly demonstrate performance. You will be the centre point of the Operation, with responsibility for ensuring deadlines are met and communication is clear and timely.

RESPONSIBILIES

Data Producing and Tracking
· Scrutinise and analyse basic sales and trends data, alerting Business Coach/Trainers to potential opportunities in store and for improving national/regional performance using clear and appropriate communication on a weekly/monthly basis.
· Understand the business fully and have the insight to be able to produce bespoke data to help Business Coaches/Trainers drive their business.
· Track sales performance for key initiatives and launches (including new sites).
· Produce quarterly packs for reviews with Business Coach and key stakeholders (Budget holders).
· Work closely with team colleagues within the US team, Greg, Jason, Amanda, Jenn to share data and best practice for the benefit of both teams
· Taking control of the overall project plan/timelines – providing Red/Amber/Green operational status on a weekly basis to all the retail teams, ensuring that the data is up to date and correct at all time.
· Dashboard (Balanced Scorecard) maintenance – Sales/Mystery shopper/Operational validations – control and circulate each period to key stakeholders, work closely with the Retail marketing manager to data mine the detail, so that they can construct a robust forward thinking marketing strategy.
· Project Delivery Service KPI's to be monitored through the ‘customers served and reported' pre- during- post the project completion.
· Collate Trading/Financial/Feedback, ensuring it is delivered to a high standard and well prepared for the Business Coach - Head of Operations.
· Manage in partnership with Finance Manager and Quantity Surveyor/Retail Project Manager the ongoing budgeting of all funds controlled by the team, providing timely updates to both the team and budget holders on a period basis.
Procurement
· Procurement supplies - formalise the operating processes and become the crucial link between customer and supply base so that we maintain consistent supplies to ensure effective scoop shop operations ongoing.
· Forecasting controls – maintain historical order data so that forward planning can be controlled thru the designated stakeholders/country owners in a timely and accurate way.

Communication
· Co-ordinate and control all Franchise agreements for UK/Europe and maintain hard and digital copy files both here and also share with US legal team.
· Coordinate and police the Retail Project sign off process ensuring that no projects are started without the 4 Pillar framework:
1. Evaluation sheet approved
2. Design spec costs signed off
3. People plan accepted
4. Business case approved.
· Co-ordinate through an air-traffic control processes all ongoing projects/meetings/training logistics both at The Barn and also externally.
· Ensure that the retail strategic project plans for each country are kept on track by ensuring that all information is collated and ready for presentations. Ensure all operating PPT decks are uploaded into SharePoint and are up to date.
· Assist and support the Business Coaches/Trainers/Retail Development Team by providing the vital operational business links/information needed between “mission control” and our customers.
· Assist with team meetings set up and manage minutes in “Action format” for circulation after the meetings, which will be held fortnightly (Ad hoc meetings may be required from time to time).
· Ensure archive and secure control of all Contract/Personal/Project/Finance data is in place for 7 years.
Team Management
· Provide support and facilitate/assist with training at The Barn and also externally at venues that may be required geographically (Train the Trainer sessions).
· Assist with logistics planning for conferences and customer “Meet & Greet” sessions at The Barn.
· Act as the retail facing - brand ambassador for all visitors to The Barn.
· Telephone messaging and follow through for team who are mobile or off line – re: customer calls/enquiries or key project challenges (instil an internal control/discipline to ensure team comply with Customer comes first – all responses by close of play each day).
· “Welcome to our team” – Introductions and Inductions for all new team members joining and co-ordinate with business coach/trainers – to ensure consistent “On boarding”.
· Working with Guaci – assist in controlling and monitoring the team movements sheet.
· Maintain control over The Barn equipment and operating standards – maintain and ensure that all “Users leave it as they find it” - spotless and ready to go!
· Co-ordinate and monitor that management reviews are taking place and ensure we have secure filing to ensure all personal data is protected and complies with Data Protection Law.
· Manage all sensitive file shredding to ensure that confidentiality is maintained at all times.
· Assist with other departments on ad-hoc duties.
· Assist Business coach head and other departments on ad-hoc duties as and when required.
