Job description
SALARY: Up to £28,000 + Excellent Benefits Package Pro Rata /Part Time 2.5 days per week (Ideally 2 full days and one ½ day per week).
MAIN JOB PURPOSE:
Unilever UK Pensions (UUKP) provides support to both the Company and the trustee boards of each of its 3 UK and Ireland pension funds:
- Unilever UK Pension Fund
- UNIAC
- Unilever (Ireland) Superannuation Fund
The UK's main pension fund (UUKPF) currently has approximately 6,500 active members (employees), 42,000 deferred members (ex-employees who have yet to draw their pension) and 46,000 pensioners. Whilst the day to day administration function for all 3 member groups of the UUKPF has been outsourced to Capita, responsibility remains in-house for pensioner liaison and pensioner welfare via the Unilever Pensioners Association (UPA).
The Administrator sits within the Admin Support Team (AST) who provides admin support to UUKP, UPA, the UK Pension Fund trustee boards and their respective sub-committees.
JOB SUMMARY
The AST provides flexible, effective, and timely admin support to UUKP. To ensure adequate cover in times of holiday / sickness absence or high volume workloads within the department or the AST itself, each team member will be expected to have a working knowledge of the other's responsibilities.
In normal, daily operation, the Administrator's primary role and responsibilities are as follows:
1. Admin Support for UPA
In conjunction with the Pensioners Liaison & Admin Manager (PLAM) ensure the smooth running of the UPA by:
· Arranging / organising pensioner lunches (approx. 24 per year), including
o Preparation of mailings to pensioners and logging returns;
o Venue arrangements and co-ordination, e.g. final numbers
o Prepare final attendee lists and lunch packs for the PLAM;
· Provide admin support to the 11 regional groups as required, including but not limited to:
o Preparation of newsletters / ad hoc flyers / group mailings, liaising with the committee members of the various regional groups as and when required
o Checking of newsletters / ad hoc flyers submitted by regional groups for printing to ensure accuracy and consistency of formatting
o Forwarding of mailings / address lists to printers for their printing and despatch
· Running weekly birthday files to send to the mailing house for despatch and ordering flowers for delivery to those UPA members with special birthdays / anniversaries;
· Maintaining an up to date list of Visitor details and the relevant districts they cover
· Checking / processing of Visitor expenses in preparation for payment and updating Visitor's record accordingly
· Processing and fulfilment of requests from Visitors for stationery.
· Ad hoc Visitor mailings (eg Annual Report and Accounts)
· Running reports from the pensions admin system (Hartlink) and updating individual records to reflect any changes in status for UPA members, advising regional group committees and visitors as necessary.
2. Admin Support for Trustees
In conjunction with AST, support the logistics around and preparation for Trustee Board meetings and sub-committee meetings including, but not limited to:
· Venue hire and arrangements (including travel for Trustees)
· Collation, final preparation and uploading of Board papers to Boardpacks
· Trustee Bible updates
3. UUKPD
A share in the responsibility with other AST members for:
· Weekly monitoring of the HMRC website for relevant notices
· Providing general admin support to the UUKPD team including travel bookings when required
· Opening and distribution of post for the department; fulfilment of stationery requests and arrangements for couriers;
· Booking meeting rooms and arrangements for visitors to site (ie notifying Reception, requesting parking); procurement of refreshments / working lunches.
· Ordering of printed stationery as / when required
Provide other ad hoc administration / secretarial services to the department as required
