Process Analyst /Sr. Process Analyst-Facilities (5 to 8 years experience)

Job description – Roles and Responsibilities

·  Role and responsibilities

· Asset Management – Person will be responsible to conduct the physical check of all non IT related assets and maintain the record of the same. This is done on annual basis. The person will be responsible for getting it reconciled from the Finance team. MIS needs to be updated on regular basis.

· Visitor Management - He will be directly responsible for the visitors management as per the company guidelines. He will be responsible to maintain the visitors data and reconcile on daily basis

· Company events - He will assist Manager Administration in the conduct of the event whether planned within the office and outside office premises. Most important being any event planned meets the HSE requirement

· House keeping – He will ensure highest standards of House keeping within the office premises. He will ensure adequate HK staff are present within the premises. He will be responsible for correct attendance.

· Cafeteria Management – Person will be responsible for the cafeteria management including Hygiene aspect of Pantry and Cafeteria. He will also be part of the cafeteria committee. He will ensure daily inspection of cafeteria. He will also visit the Vendors kitchen along with Cafeteria committee.

· MIS - He will update Admin dash boards on periodic basis after teaking into consideration expense report

· Sub staff Management - He will ensure good discipline and turn out amongst all the contractual staff – Security/ maintenance /House keeping. He will be also responsible of periodic training.

· Tea Coffee Management – he will responsible for operational worthiness of Coffee /Vending machines in office including the stock level. He will be ensure there are adequate stock of Coffee capsules which are generally used for the visiting guests

· Stationery – He will ensure the stocks are maintained as per Minimum Stock level and demands placed accordingly

· Drinking Water – The quantity of drinking water Jars are always maintained

· Courie r – He will be responsible to ensure that all inbound and out bound couriers are properly recorded and documented.

· Guest Lunch and snacks – He will be responsible for catering of guests lunch and snacks after checking back from the concerned hosts.

· Shifting – He will coordinate with all stake holders including IT for shifting of employees work places within office premises

· Outside duties – He will coordinate the movement of office boys/peons for out office duties after checking with all stake holders

· Physician movement - Physician movement to office premises needs to be informed to all employees.

· Horticulture – Horticultural aspects to be looked into holistically and coordinate with vendor for upkeep of plants within office premises

· Bills and vetting – He will be responsible for timely payment of vendors. This will entail detailed vetting of bills and ensuring correctness of the bills . Items to be checked on their receipt. All bills to be properly accounted for and forwarded to the concerned person within stipulated time. In case of any observation to bring to the notice of seniors.
