About the Job : 

Missions and responsibilities

Reporting to the head of the secretariat of the Engineering division, you will work as part of a team of 4 secretaries to assist the managers and employees of the division (approximately 800 persons) and to contribute to the implementation and adoption of digital solutions.

Your main tasks will be :

·  Prepare, transmit and follow all requests related to the Division's logistics: computer equipment, office, etc.
·  Accueillir et faciliter l'intégration des nouveaux arrivants (embauchés, prestataires et impatriés)
·  Welcome and facilitate the integration of newcomers (payroll, impatriates and contracted staff)
·  Organize travel and prepare expenses notes in the system
·  Ensure space management (organize internal moves, update plans, do floor simulations, ...)
·  Organize meetings / trainings
·  Ensure the recording of employee hours (registration, follow-up, approval, corrections, transfers, etc.)
·  Ensure the follow-up of the Division Purchase orders (intra-groups / outsourcing)
·  Update the CV database
·  Update of the Division's intranet site
·  Prepare presentations / survey (Powerpoint, Forms)
·  Issue various documents (Minutes of meeting, letters, etc)
·  Manage the outlook calendars of the Division management team
·  Set up and manage the tools needed to maintain expertise
·  Help develop the HSE culture
·  Organize Team buildings
·  Update the organization charts
·  Compile the monthly activity report


About You : 

BTS secrétariat + 1 or  2 years’ experience
Fluent written and spoken English
Another language would be appreciated  (Spanish, Italian, Russian)

Excellent computer knowledge (Outlook, excel, word, powerpoint, Sway)

Interpersonal skills
Proactive and autonomous
Organization / identification of priorities
