Your Areas of Impact:
1. Office Administration & Operations
• General Operations: Oversee day-to-day office logistics, including managing
office supplies, equipment, and facility maintenance.
• Vendor Management: Maintain general office files, including vendor
contracts and service provider relationships.
• Culture & Events: Organize company events and team-building activities;
plan and implement initiatives that promote a positive and vibrant work
environment.
• First Impression: Act as the face of the office, ensuring a professional
atmosphere for employees and guests.
2. Occupational Health & Safety (Arbeitssicherheit)
• Safety Officer (SiBe): Act as the designated Safety Officer, ensuring all legal
mandates are met and documented (including regular SiBe training updates).
• Workplace Improvements: Implement physical office changes as required
by the ASA (Arbeitsschutzausschuss)
• Training & Drills: Create and deliver a custom ADH safety training module
for all staff.
o Conduct annual fire drills (Feueralarmübung) and perform safety
briefings for new employees throughout the year.
o Ensure all training evidence and documentation are kept up to date for
legal audits.
• Certification Management: First Aiders, Fire Safety Assistants, Safety
Officer: Ensure certifications are renewed according to regulation
Your Profile:
• Education: High School diploma (Abitur) and relevant university degree or
vocational training
• Experience: 2 or more years of experience in office administration, executive
assistance, or a related role.
• Safety Expertise: Prior experience as a Sicherheitsbeauftragte/r or a strong
interest in becoming the expert for occupational health and safety (we support
your certification).
• Mindset: Highly organized, proactive, and "hands-on." You see what needs to
be done—from a broken coffee machine to a blocked fire exit—and you fix it.
• Diligence: High attention to detail, especially regarding the documentation
and evidence required by German safety laws.
• Tech Stack: Proficient in Microsoft Office (Word, PowerPoint and Excel)
• Languages: Excellent written and oral communication skills in English and
German (German is critical for dealing with local authorities and safety
regulations).
