Job description
Reporting directly to the Regional Managing Director (RMD), this position offers a fantastic opportunity to gain broad exposure across both Group-level and regional/local teams. You will serve as a key communication interface to various internal stakeholders and play a crucial role in supporting top management.
Key Responsibilities:
• Meetings & Calendar Management : coordinate internal and external meetings and schedules across global teams, ensuring seamless communication and organization.
• Inbox Management : manage inboxes and prepare documentation, including translations.
• Document Preparation : update materials prior to meetings or business trips.
• Travel Coordination : manage all aspects of international travel arrangements and handle travel expenses and other reports.
• Event Support : organize, manage logistics, and provide administrative support for corporate events and meetings.
• Task Management : follow up on to-dos and action items, track meetings and key tasks to ensure deadlines are met.
• Document Creation : prepare and update documents, including PowerPoint presentations and reports, to support business activities.
• Assistance : providing comprehensive administrative support to the RMD in day-to-day operations.
Key Requirements:
• Experience : at least 2 years of experience in a similar role, such as an assistant or fields like business administration, project management, or consulting, ideally with international exposure.
• Higher Education : at least a bachelor's degree.
• Language : fluency in Polish and English (minimum C1 level), both spoken and written, with excellent writing skills.
• Interpersonal Skills : strong ability to build relationships across all levels of the organization.
• Organizational Expertise : a highly structured and detail-oriented approach to work, with excellent organizational and prioritization skills.
• Communication : ability to communicate and present information in a clear, concise, and structured manner.
• Professionalism : tact, judgment, discretion, and resilience under pressure.
• Independence and Flexibility : strong self-management, assertiveness, diplomacy, and adaptability in a dynamic environment.
• MS Office Proficiency : skills in MS Office, particularly PowerPoint and Excel.
• Interpersonal Skills : highly developed interpersonal skills, with the ability to work effectively with diverse teams.
