We are currently seeking a Payroll Administrative Assistant for our Ottawa test cartridge manufacturing facility. As a member of our Payroll/HR Team, you will play a key role providing support to the Payroll Team, Payroll Manager, Recruiting Manager and HR Manager with daily tasks and projects.
· Payroll support; process and validate time and attendance entries using weekly reports, respond to employee and manager pay and vacation concerns, validate payroll changes/reports and mail copies of employee pay stubs and T4 forms as required
· Administrator for ADP Total Access online pay statements.
· Maintain In House System with Access Rights for Managers, Supervisors & Team Leaders.
· Responsible for “leave administration”. Co-ordinate leave information & forms with Managers, employees, Blue Cross, EHS and Payroll Team semi-monthly to assist with processing accurate payments.
· Complete quarterly report for EHS.
· Assume maintenance of business process (LoginTrak).
· Recording taxable benefits and calculating gross up payments.
· Administrative support for BHR with L&D training coordination and Clara Abbott Foundation.
· Assist employees with myHRTeam Service Center requests and coordinate paperwork with myHRTeam for employees (eg. benefit forms, new hire forms & pension forms).
· Assist myHRTeam with gathering employees’ Blue Cross benefit information and employment verifications.
· Assist with gathering data for Finance and IT Auditors, as required.
· Provide support to Payroll Team, Payroll Manager and Business HR Manager.
· Schedule and coordinate interviews for Recruiting Manager and Line Managers.
· Maintain and provide new employee ID numbers to myHRTeam.
· Update Recruiting Worklet in Workday for Recruiting Manager.
· Send onboarding documents to new hires and forward completed forms to myHRTeam.
· Manage new hire orientation files and assist new hires with onboarding in Workday.
· Assist Recruiting Manager at career fairs; prepare materials for the career fairs, as required.
· Maintain HR and Payroll filing.
· Maintain Payroll & HR policies, forms and procedures and ensure intranet site is updated
· Maintain contract and maternity end date reports and ensure managers/team leaders contact myHRTeam to advise of terminations and return from maternity/parental leaves.
· Provide assistance to Managers and Employees with Workday transactions.
· Order office supplies and perform other administrative duties as required.
Experience
· Minimum 1-3 years in an Administrative role.
Knowledge, Skills and Abilities
· The typical minimum level of education to perform this job competently is completion of a 3 year College or Technical School Diploma (ie. Business Administration or Human Resources) program or equivalent work experience.
· Canadian Payroll Association certificate is an asset.
· Work efficiently and effectively in a fast paced environment
· Effectively adapting to tight deadlines, heavy workloads, and sudden or frequent changes in priority in order to accomplish objectives.
· Ensuring that work accomplished is accurate in all relevant aspects.
· Attention to detail skills and strong team player is essential.
· Working with and coordinating the activities of persons over whom the incumbent may have no direct authority; attention and energy are focused on bringing various activities together to meet timetable(s).
· Demonstrating self-motivation; effective performance is driven from within.
· Ensuring confidentiality and sensitivity when dealing with HR and payroll information.
· Writing clearly and concisely to explain information in a well thought out, logical and effective manner
