JOB DESCRIPTION:
Primary Job Function:
Provide support to the ANZ sales and marketing team and provide efficient and effective orderly storage and dispatch of packages/goods
Core Job Responsibilities:
· Assist in managing customer calls and enquiries post-implant.
· Support marketing-driven activities including advanced promotional material development, meeting minutes, mailers, trade stands, presentations, photocopying and binding documents, organising catering and other administrative activities - outsourcing tasks where necessary.
· Organising meetings including sending out invitations, agendas, booking meeting rooms, organising catering.
· Coordinate with the Sales team the distribution and recording of sponsorship activities.
· Assist with organising customer events, if required.
· Track and coordinate Health Care Professional documentation/forms.
· Create, monitor and check HCP documentation for management approval.
· Liaise with HCP and staff and arrange travel, accommodation and agenda.
· Logistic support in organising state meetings, National Sales Conference, Mid-year Cycle Meeting, customer events including EP Fellow Symposium and Advisory Board where required.
· Coordinate external conferencing/trade displays, and liaise with convention management teams.
· Arranging flight travel and hotel accommodation as required.
· Assisting with routine implant/stock transfer processing and sales invoicing for field.
· Assist with management of inventory and short dated stock.
· Assist with sales data management; implant tracking, working with spreadsheets to provide data for SSM and field.
· Unpacking, sorting and placing items on shelves.
· Packaging and arranging delivery either local or interstate.
· Conducting periodic stocktakes.
· Keeping storeroom in good order.
· Note: Moderate lifting required.
· Attend company sales meetings and customer events as required.
· LMS administrator for maintaining LMS training records.
· Have a sound understanding of, and comply with, the industry (MTAA) the Abbott Code of Conduct and Company Compliance requirements.
· Handle and document customer complaints according to Abbott ANZ Field Event Reporting Standard Operating Procedure.
· Knowledge of and commitment to the requirements of the Quality Management System.
· Knowledge of and commitment to Work, Health & Safety responsibilities.
· Action any other customer complaints with relevant Abbott ANZ Business Unit.
· Execute the position and Business Unit responsibilities according to applicable Abbott ANZ Standard Operating Procedures.
· Perform other related functions and responsibilities as directed by Manager.
· Management of Health Care Professionals (HCP) – Manage all aspects of the EP HCP Approval process with Business Managers.
· Understand and ensure compliance with the Business Standards and MTAA guidelines.
· Arrange and coordinate relevant training / information sessions for staff requested.
Minimum Experience/Training Required:
· Previous experience in a similar role, preferably in a medical devices / pharmaceutical environment.
· Proficient at using Microsoft Office Suites (i.e. Word, Excel & PowerPoint). Experience with InDesign, Photoshop & Illustrator is advantageous.
· Understanding of MTAA Code of Conduct & Abbott HCP Code of Conduct.
