We are looking for an experienced EA to join The Maison. 

 

The Executive Assistant supports the Managing Director of Oceania and their Executive Committee (EXCO) with projects, organisational and administrative duties, reports and analysis and performs their responsibilities in an organized and timely manner.  

The Executive Assistant will act as the Managing Director’s first point of contact with people from both inside and outside the Maison and Group, constantly maintaining an upmost level of confidentiality and discretion with all information.

HOW WILL YOU MAKE AN IMPACT?   
With your exceptional design skills, you will be instrumental in:    

High-level executive admin support  

· 
Act as a key liaison point with the local EXCO members, Regional and Central teams and other key external parties, setting up meetings as appropriate and ensuring smooth and accurate communications, providing a high quality secretarial and organizational support service 

· 
Prepare presentations conforming to Cartier’s aesthetics on key business processes including pre-reading material and summary documentation. 

· 
Prepare email communications for the MD, internal and external purposes.  

· 
Organise events, conferences, lunches/dinners, or meetings hosted by the Managing Director and their EXCO, prepare the related budgets and control spendings accordingly 

· 
Coordinate all stationary orders including but not limited to business cards, letter head paper, receipt holders for office and boutiques 

· 
Any other duties assigned to you from time to time  

Oversee Travel & Entertainment (T&E) coordination and expenses 

· 
Make travel and visa arrangements, book accommodation and prepare travel itinerary for the Managing Director and their EXCO 

· 
Organise and maintain effective filing systems and submit expenses claims on behalf of the Managing Director and their EXCO 

· 
Consolidate and monitor T&E expenses (e.g. compile credit card expenses reports) monthly, prepare BU (Budget) and LE (Latest Estimates) 

Transversal support to the departments 

· 
Support different teams for all important Mailings (festive seasons, events…) 

· 
Support the PR team in the execution of some shootings, preparing documentation, transfers and assisting occasionally some shootings.  

· 
Support the office during major events, being an active contributor of the task force and delivering on site support.

Minimum 3 years of work experience in a large international company and exposed to senior leadership 

· 
Good influencing skills and can communicate effectively at all levels

Proficiency in Microsoft Office including Excel, World, PowerPoint, and Outlook  

·
