HOW WILL YOU MAKE AN IMPACT?

This role will provide a Facilities support services function at 15 Hill Street and, if required, at any other Richemont location. In conjunction with the Facilities Manager, you will ensure the efficient management of the building infrastructure ensuring at all times compliance with the HSAW Act and COSHH. We are seeking someone who is proactive in alerting the Facilities Manager of any potential things within the building that could need attention either immediately or in the near future.

·  Ensure that the appropriate HSAW posters are displayed and kept updated on all floors.
·  To be fully conversant with operation of the building Fire Alarm panel.
·  Conduct the weekly Hill St fire alarm test and take the necessary recording action.
·  Inform new employees of their nominated fire warden and instruct them in the actions to be undertaken in the event of an evacuation.
·  Ensure that an up-to-date listing of Hill St personnel is held by the evacuation co-ordinator.
·  Check, on a daily basis, all light bulbs throughout the Hill St building and replace as necessary.
·  First point of contact on all company call-out lists.
·  Provide assistance to the Chairman’s office staff as required.
·  Provide assistance to the art curator as required.
·  Check, on a daily basis, photocopier and fax paper levels located on all floors at Hill St replenishing as appropriate.
·  Sort each morning, the Hill St Royal Mail delivery once notified by reception of its arrival and then deliver accordingly.
·  Collect courier packages from Reception, ensuring that they are delivered promptly.
·  Conduct a mail collection service from the Hill St offices.
·  Prepare for collection by Royal Mail all outgoing post ensuring that it is correctly franked and prepared and, that: special; recorded and guaranteed deliveries are properly processed and accurate records maintained.
·  Pack items for dispatch as required.
·  Ensure that the franking machine is kept in working order, etc and that machine supplies are maintained.
·  Ensure the tidiness and cleanliness of the Post Room
·  Monitor stock levels of corporate stationery and advising FM as stocks deplete.
·  Designated company key holder, able to reach the office easily.
·  Heavy lifting and carrying as required.
·  Prepare, as appropriate, packages for dispatch by international courier.
·  Maintain a good working relationship with other members of the Facilities Team and external contractors.
·  Liaison with other members of staff in the building on a regular basis.
·  Supervision of Reception/Facilities team as needed in conjunction with Facilities Manager
·  You may be required to undertake such further duties as your skills, qualifications and experience allow and/or as may be assigned to you by the Company from time to time.

 

HOW WILL YOU EXPERIENCE SUCCESS WITH US?

·  Well presented with a good, clear and pleasant telephone manner.
·  Professional approach to the job with an understanding of the need for discretion and confidentiality at all times.
·  The ability to be diplomatic and to stay calm under pressure.
·  A flexible approach and commitment to ‘getting the job done’.
·  Someone who is prepared to ‘muck-in’ and has a ‘can do’ wherever necessary.
·  Experience of working in an international organisation would be useful.
·  Previous experience of reception work would be a distinct advantage; however, not essential.
·  Strong communication skills with the ability to act on own initiative.
·  Familiar with working in a team environment but is capable of working solo as necessary.
·  Computer literate, with a working knowledge of a Windows Based PC environment, MS Word, Excel and Outlook.
