We are looking for a Personal Assistant to the Chief Sustainability Officer, part-time 50% (m/f/d), based in Munich.
Your Team
You’ll join a global team at an exciting time as we continue to drive sustainability through all we do within our own business, build the required sustainability governance and support our customers’ to adapt to become more resilient to the impacts of climate change as well as other emerging sustainability.
The Impact You Will Have
To provide an efficient and responsive administrative, organizational, and logistical service to the Chief Sustainability Officer. The Personal Assistant ensures that the manager could focus on strategic matters by processing delegable tasks and participates in important projects where involvement of the manager's office is necessary.
Some of your specific responsibilities could include:
Ad hoc support on various types of presentations
Ensure busy schedule/calendar commitments, documents, and international travel arrangements -- flights, hotels, visa, personal bookings -- are managed effectively. This often includes interaction with other senior managers on an international basis as well as urgent last-minute tasks
Content support and coordination for marketing/speaking events
Filter emails, highlight urgent correspondence, and suggest actions. Maintain the manager’s schedule and email account. Content of e-mails, attachments, and calendars are routinely confidential.
Liaise with relevant individuals, external organizations etc. to arrange meetings, prepare agendas and draft minutes
Contribute to / coordinate ad-hoc projects and initiatives for manager's office. This can include workshop preparations/minutes, budgeting topics, Allianz engagement survey (AES) action items, etc.
Embrace additional professional responsibilities as requested by your manager to support business objectives.
What You’ll Bring to the Role
Many years of previous experience as an Assistant/PA in a Corporate/Global environment
Experience and knowledge of the insurance or financial services sector is preferred
Competent user of Microsoft Office applications: Outlook, PowerPoint, Excel, Word
Clearly and effectively express ideas and messages via speech and writing
Highly organized with the ability to handle complex diary management and travel arrangements
Excellent relational skills at every level of the organization
Tact and discretion
Able to remain calm and focused under pressure as well as to anticipate needs and be proactive in finding solutions
Profound experience working in a global environment
Fluent English skills
A basic understanding of artificial intelligence (AI) and its potential applications in business is essential.
