Job Description

Administration

·  Establish action plans and schedules for meeting departmental priorities.
·  Assign responsibilities, allocate resources and co-ordinate the activities of yourself and others to meet objectives effectively and efficiently.

 

Financial and Revenue Responsibilities

·  Works with superior in the preparation and management of the department’s budget. Duties include:
·  Co-ordinate the preparation of the departmental annual budget and capex.
·  Manage the Department’s expenses.

 

Training and Human Resources

·  To attend trainings and meetings as and when required.
·  Create an environment in which both external candidates and Ambassadors experience the Sofitel Values.
·  Ambassador Care; execute and implement the Human Resources processes.
·  Carry out project work as required, involving internal and/or external liaison, within set guidelines provided by the Human Resources Manager & Director of Human Resources.
·  Involved in generalist Human Resources activities to support and contribute to the overall success of the Human Resources strategy.
·  Work closely with the Government Relation Section in regards to all types of visa for the hotel and team members.
·  Familiarize on the UAE Labor law and rules & regulations.
·  Familiarizes and enforces local Human Resources policies and procedures.
·  Liaises with individuals outside the hotel including, but not limited to, Ambassador benefits representatives, attorneys, applicants, government officials, colleges and universities, competitors and other members of the local community.
·  Assist the Human Resources Manager, where appropriate, in the development and preparation of the Hotel’s Strategic Plan, Marketing Plan and Goals Programme.
·  Ensures clear lines of communication exist to disseminate information affecting employer - Ambassador relations, Ambassador activities and hotel policies and programmes.
·  Handling, maintaining and updating of Oasys System & Interflex time attendance.
·  Processing of payroll in coordination with the finance, cross checking the timesheet from Oasys is correct before exporting for payroll processing.
·  By making sure that all the leave forms are filled up correctly along with the vacation report for Excom, DHA, DHB & Asst. Manager prior to sending it for the General Manager’s signature and posted in the Oasys system.
·  For those who require leave salary, the approved leave forms are sent in advance to finance for payment process.
·  To liaise with the PR department to make sure that all the ambassadors have gone through the Emirates ID Registration process and do the follow ups with the ones have not received.
·  To liaise with the nurse in enrolling all the new ambassadors that they get the medical insurance cover and deletion of medical cards for Leavers. All the food handlers have done the medical test for Occupational Health Test  (OHC).
·  Monitor or handle Health Card when brought in by the Nurse.
·  In-charge of arranging & organizing Monthly Ambassadors outing.
·  Assist the Housing Manager in organizing Sports activities for the Ambassadors.
·  Taking care of the Ambassadors cafeteria and making sure it is clean at all times, food is preserved & served in hygienic standards.
·  Assist the Housing Manager with the Ambassadors transportation, in arranging any new requests for outing, medicals etc. & in preparing the bus schedule at the end of the month.
·  Prepares and submits periodic reports for management’s use in accordance with Corporate and government requirements, such as turnover reports, personnel inventories, absenteeism reports, health and safety, accident reports etc.
·  Maintains and updates files on Ambassador records, legal documents and other Personnel matters, efficiently and confidentiality.
·  Maintains effective communications at all levels of management and staff.
·  Develops and implements recruiting and screening systems and procedures in order to attract qualified candidates for position vacancies.
·  To hire the right candidate for the right position as per the budgeted manning.
·  To have reference check in the personnel file for all new hired candidates.
·  Monitors the administration of the Performance Appraisal Programme and acts in an advisory capacity to hotel department heads on the process.
·  Participates in the Sofitel Management Development and Succession Planning process by recommending candidates as appropriate.
·  Counsels hotel personnel as needed in areas such as career planning, training and development, employee/personal relations and legal issues related to personnel.
·  Ensures applicable laws, regulations, Sofitel/Accor policies and procedures are followed in relation to Grievance and Disciplinary procedures. Consults with department heads on appropriate actions and recommends to management final action to be taken.
·  Implements and monitors an effective employee relations and welfare programme in the hotel.
·  Participates in developing and implementing programmes to ensure Ambassador security and safety.
·  Ensures all staff facilities are maintained in good order and meet hotel’s cleanliness standards.
·  Deals with all problems relating to individuals in an understanding, caring and confidential manner.
·  Ensures all Ambassadors are aware of company benefits and make these available.
·  Reviews hotel benefits and compensation levels in comparison with service sector competitors and makes recommendations to ensure the hotel remains competitive within the local employment market as appropriate.
·  Monitors present and future trends, practices and systems in the personnel field and makes recommendations as appropriate.
·  Maintains control of Pension plans and safeguards both Company and Ambassador interests. Ensures that all Government Regulations are adhered to.
·  Maintains hotel Disciplinary Procedures, conducts disciplinary meetings and completes the necessary documentation as necessary.
·  Ensures that all staff abide by the hotel dress codes and hotel rules.
·  Ensure wherever possible that Ambassadors are provided with a work place free of discrimination, harassment and victimisation.
·  Treat complaints of harassment and discrimination promptly and confidentially.
·  Treat customers and colleagues from all cultural groups with respect and sensitivity.
·  Identify and deal with issues which may cause cross cultural conflict or misunderstanding.

QUALIFICATIONS

·  Post secondary school education

EXPERIENCE

Previous experience in a similar HR supervisory role is desirable within a 5 star luxury hotel
