Job Description
* Cooperate with the related departments and request any required documents, information, or work from department employees or managers to ensure that the General Management office operates in a seamless manner. Carry out correspondence within the Cluster General Manager’s knowledge and ensure the communications of the General Management office.
* Carry out the written internal communications of the hotel’s Cluster General Manager.
* Carry out the written external communications of the hotel’s Cluster General Manager.
* Carry out the telephone communications of the hotel’s Cluster General Manager.
* Remind the General Manager of VIP guests and, if necessary, ensure that they meet/communicate
File all documents and correspondences of the General Management office appropriately and ensure that the files are up-to-date.
* Protect the confidentiality of all correspondences issued or received by the Cluster General Manager.
* Take note of and follow up all appointments of the Cluster General Manager.
* Ensure that the communication channels of the General Management office are working at all times and take the necessary measures in this regard.
* Receive hotel guests and other guests who wish to see the Cluster General Manager in a proper manner.
* Ensure that the department managers or other employees who wish to see the Cluster General Manager meet at the earliest convenience and arrange the meeting times.
* Prepare the meeting minutes appropriately for the Cluster General Manager’s meetings that require such meeting minutes and distribute them to the concerned parties.
* Monitor and control the faxes sent on a daily basis.
* Keep track of the special days of hotel employees and other individuals deemed necessary by the Cluster General Manager and make arrangements for celebrations.
* Ensure that the Cluster General Management office is always kept in a clean and orderly manner.
* Possess full knowledge of the hotel’s policies and procedures, implement these policies and procedures and, when necessary, ensure coordination between other departments.
* To predict that all activities and to purchase all equipment and belongings may create disease for the environment, to join all activities which is organized to protect biological diversity and share the responsibilities, shares the individual responsibilities in order to increase environment knowledge and to carry on necessary trainings. To provide minimum consumption currently used all stuff and equipment (paper, printed out, etc.).
* To implement necessary warnings and departmental training in order to save energy inside the facility. To carry on implementing decisions which were taken for saving energy. To predict the effects of the environment and efficiency of energy on purchased equipment.
* To implement his responsibilities in order to eliminate and collect waste in a proper way, and reduce environmental pollution and harmful effects to the environment.
* Carry out all responsibilities related to the quality management systems implemented at the facilities.
* Carry out all other duties assigned by managers and hotel management not specified in the job description.
Qualifications
Education: 4-year bachelor's degree.
* Experience: At least 1 year of similar work experience.
* Foreign Language: Sufficient level of English to communicate effectively with employees and guests. Knowledge of Arabic is an asset.
* Courses and Training: Requires sufficient theoretical and practical background and attendance in courses and seminars in the related field.
* Computer Literacy: MS Office applications.
* Skills: Has a good command of legislation in the related field based on experience or theoretical education. Has basic knowledge of other processes that affect the job. Is responsible for implementing the sub-process steps.
