What you will do

Volvo Group has been in Australia since 1972 and has a strong track record of helping our customers succeed in their respective industries. Volvo Group Australia manages the manufacturing, distribution and operation of well-known brands such as Volvo Trucks, Mack Trucks, UD Trucks, Volvo Bus, Volvo Penta, Volvo Construction Equipment and Volvo Financial Services. This role will work for Volvo Commercial Vehicles (VCV), who are the primary commercial vehicle distribution and servicing centre’s for Volvo Trucks and Buses, Mack Trucks and UD Trucks at Newcastle. 
 
 
What you will do 

We’re looking for an energetic and customer-focused Service Advisor to join our Newcastle dealership. You’ll be the crucial link between our workshop and customers, ensuring smooth scheduling, clear communication, and high-quality service delivery.
 
Your day-to-day responsibilities will include but not be limited to: 
•    Schedule and organise service appointments and workshop jobs
•    Manage service-related customer enquiries professionally and promptly
•    Open, close and manage repair orders (ROs)
•    Assist with customer invoicing, purchase orders and internal/warranty billing
•    Liaise with subcontractors and process external repair documentation
•    Support payroll and workshop reconciliation tasks where required
•    Maintain and update the planner and ensure RO completion is accurate
•    Provide status updates to customers on repair jobs and manage variance communication
•    Conduct road tests and ensure vehicle presentation standards are met
•    Guide and support apprentices and technicians on technical service standards
•    Collaborate closely with the Service Manager and team for day-to-day operations
•    Handle after-hours enquiries and relief counter duties as required 

Who are you?

At Volvo Group, we feel that your behaviours and characteristics are just as important as your technical skills! Ideally you will have: 
•    Experience in a similar Service focused role, however we would still love to hear from you if you have related experience within the truck industry – administration, invoicing, warranty or technical backgrounds 
•    Truck industry experience is advantageous, or similar industry experience with a familiarity with repair order systems, invoicing and scheduling tools
•    A passion for providing excellent customer service, proactive nature  and team focused attitude 
•    A solid understanding of data entry systems, Word and Excel 
•    Strong organisational skills and the ability to think on your feet 
•    An HR license (or the willingness to obtain one)
