Job description

Hi, I am Malin. In my role as SVP of Digital Delivery at Volvo Group Digital & IT, I lead a global team focused on innovation, product development, modernization, and agile transformation. We’re 3,000 strong team, spanning Sweden, India, Poland, China, Brazil, France, and the USA, and together, we create digital solutions that drive the future of transport and infrastructure.

 

To do this effectively, I need a trusted partner—someone who thrives in a fast-paced environment, brings structure to complexity, and ensures everything runs smoothly behind the scenes. As my Executive Assistant, you’ll be an integral part of the leadership team, working closely with me to manage priorities, coordinate key projects, and enable our function to operate at its best.
 

What You’ll Be Doing

In this role, you’ll take ownership of my calendar and inbox, ensuring meetings, priorities, and projects are well-coordinated and executed. You’ll be the point of contact for key stakeholders, handling communication with clarity and professionalism. You’ll also draft and prepare reports, presentations, and correspondence, making sure everything is accurate, polished, and impactful. Meeting coordination will be a key responsibility, from setting agendas to tracking action items. Additionally, you’ll manage essential administrative tasks, such as travel planning, expense reporting, and procurement, all while ensuring efficiency and discretion.

 

Who You Are

 

I’m looking for someone who:

·  Enjoy having fun at work and thrive as the go-to person for support
·  A couple of years experience in supporting senior executives in a dynamic, global environment
·  Highly organized, detail-oriented, and proactive in problem-solving
·  Discreet and professional when handling confidential information
·  A strong communicator, fluent in English, and comfortable interacting with senior stakeholders
·  Proficient in Microsoft Office and have experience from admin support system 

 

Location: Gothenburg, Sweden. For this position you are required to work at the office in Lindholmen.
Occasional travel required
