Job description

1. Receiving, copying, filing and maintaining the quality system documents, technical documents including confidential files and safeguarding confidential data

2. Manage and maintain office supplies for RSC AP and distributes office supplies to staff if needed

3. Coordinate travel arrangements & accommodation for process owners & staff, planning & co-ordinating visitor programs and team biulding activities

4. Maintain organizational information i.e. organization structure, staff list

5. Support for preparation of documents including office, customer documents

6. Translating, typing, editing, distributing, copying and checking documents for process owners and team members including typing correspondence, presentations, statistics, reports and meetings

7. Take minutes of meetings, take and transcribe short-hand dictation, provide verbal translation, create presentation, and conduct research.

8. Transmit messages, make meeting arrangements, appointments and receive visitors

9. Maintain internal mailbox document holder and distribution lists for team members

10. Perform any other duties & responsibilities which are assigned on an ad hoc basis by process owner, i.e. prepare marketing newletters etc

11. Ownership of the intranet website and ensure that it is updated regularly with News articles, profiles and relevant content on a monthly basis
