The Administrative Assistant provides exceptional administrative assistance to the team by direction of the Zone Administrative Manager and Branch General Manager. Assumes Office Management duties – ensuring smooth operation of the day-to-day activities of the office, working with outside vendors or internal projects. Why is this so important? The Administrative Assistant acts as a Culture Ambassador, taking initiative to guard and promote our ownership culture by encouraging a trusting, respectful and friendly atmosphere. The position promotes office initiatives, all while helping to make Siemens an employer of choice.
As a Administrative Assistant, you will:
- Office Management: Act as the point of contact for third parties such as property manager, office suppliers, accounts payable
- SAP data entry
- Fleet Coordination
- On-boarding of new employees and employee resignation/terminations
- Manage office budget while reviewing inventory levels of office/ departmental supplies ensuring office supplies are stocked
- Create purchase orders and vendor set ups through Supply Chain Management Systems
- Maintains various departmental record(s) in accordance with company policies and procedures
- Keeping a tab on the overall pulse of the office environment, and coordinating fun internal office activities (birthdays, Family Day, welcome lunches, etc)
- Marketing & Event support, local business relations Liaison
- Coordination of team events and/or meetings, catering
- Plan and manage customer meetings, training sessions, catering for events
- Safety Program Lead
- Identify cost reduction activities
- Manage and coordinate projects as assigned
- Position will be requesting Certificates of Insurance
You will make an impact with these qualifications:
Basic Qualifications:
- High School Diploma/GED
- A minimum of 3-8 years of secretarial and administrative experience
- PC skills required for report generation, presentations, and general correspondence
- Requires the ability to exercise normal independent judgment and basic reasoning skills
- Legally authorized to work in the United States on a continual and permanent basis without company sponsorship
- This position supports a Siemens customer that requires all employees and vendors to be fully vaccinated against COVID-19 where permitted by applicable law and in accordance with an accommodation based on legally protected reasons
Preferred Qualifications:
- Demonstrated ability to work in a team environment
- Experience working with Office 365
- Experience with SAP
- Demonstrated excellent communication skills and customer service experience

- The pay range for this position is $41,600 - $71,300. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications, and premium geographic location.
