We are seeking a highly organized and skilled Project Administrator with strong executive assistance capabilities to support the CEO of our treasury-focused organization. The ideal candidate will be adept at managing administrative responsibilities, coordinating projects, and ensuring seamless communication across departments.
We are looking for Project Administrator (with executive assistance skills) with the position being mainly remote we will need you in the Iselin, NJ office one day a week.
Responsibilities:
Project Management Office:
- Support project management in project controlling, risk management and in development of project plans and milestones.
- Monitor project progress and ensure quality of milestones.
- Plan, prepare and follow-up of workshops or training measures
- Oversee project budget controlling and manage the purchase of external project-specific services
- Organize project-specific communication in events and media (e.g. internet/intranet, newsletter, mailings).
- Manage office supplies, equipment, and facilities.
- Supervise administrative staff and provide guidance as needed.
Communication and Coordination:
- Act as a liaison between the CEO and internal/external stakeholders.
- Facilitate communication within the organization, ensuring timely and accurate information flow.
- Organize and participate in meetings, taking minutes and following up on action items.
Executive Support:
- Manage the CEO's calendar, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Conduct research and compile data to support decision-making processes.
Requirements are:
- Bachelor's degree in Business Administration, Project Management, or a related field.
- Proven experience as an executive administrator, project manager, or in a similar role.
- Strong project management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent organizational and multitasking abilities.
- Exceptional communication and interpersonal skills.
- Proficiency in project management tools and office software.
- Ability to maintain confidentiality and exercise discretion.
Preferred Requirements:
- Certification in project management (e.g., PMP).
- Familiarity with treasury operations and financial management.

- The pay range for this position is $72,380 - $124,080 with a 10% incentive bonus structure. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications and premium geographic location.
