What will you do?

As Executive Business & Finance Assistant, you will provide the highest level of professional services and operational support to our Sr Vice President and senior staff members of the Regional Solutions and Services (RSS) business in our Smart Infrastructure (SI) division at Siemens Canada Ltd. You are a problem-solver, highly organized, have strong communication skills and have an excellent ability to build and manage relationships with both internal and external stakeholders based on trust. You are an experienced professional with advanced thinking, digital and innovative mind-set, who thrives effectively in a continually changing environment. This is not a traditional admin role and if you are looking to be the trusted partner to the Executive Leadership team, we want to hear from you!


Administrative Duties:

  • Manage the calendars for the Executive Leadership team.
  • Provide administrative support to a variety of tasks both off-site and in the office with respect to travel arrangements, events, meetings and conferences; reconcile travel and expense reports; accurately process invoices.
  • Manage all incoming and external phone and email requests while ensuring that the Customer and business priorities are always being maintained; monitor flow of information on behalf of the Executive Leadership team.
  • Independently prepare correspondence in an accurate and professional manner.
  • Generate internal social media content and wordsmith the internal messaging.
  • Handle personal and confidential information discreetly.
  • Utilize MS Teams to set up conference calls and file sharing.

Business & Finance Support Duties:

  • Coordinate the preparation and distribution of supporting information in advance of upcoming meetings, including strategic research and financial analysis to support business deliverables.
  • Generate financial charts, transform MS Excel data into information and embed this information in presentations formats i.e. MS PowerPoint, Microsoft Sway, etc.
  • Business Process Improvement (BPI): Continuously identify opportunities for increasing efficiencies by suggesting process improvement; research and integrate new office technologies etc.
  • Living our Smart Infrastructure culture; act as a SI Ambassador.
  • Managing the smooth operation of the Executive Office.

What will you need to succeed?

  • Minimum 5 years of successful experience in an Executive Support/Assistant function in a corporate setting, preferably in a matrixed and multinational company.
  • Exceptional communication skills and have experience dealing with senior level Executives.
  • Bachelor’s Degree or Diploma is ideal.
  • Advanced working knowledge of Microsoft Applications: Teams, Outlook, Excel, Word, PowerPoint, Sway, etc.
  • Working knowledge / savvy with social media and collaboration tools.
  • Research and financial analysis skills / acumen.
  • Service and customer centric mindset.
  • Efficient self-starter with a demonstrated proactive approach in dealing with differing situations requiring searching for solutions, with an ability to operate effectively in a fast-paced environment.
  • Highly organized and attentive to details. Critical thinking and reasoning skills.
  • Actively interested in researching and testing new digital tools.
  • Ability to maintain and work with highly sensitive and confidential information.
  • Ability to multi-task complex deadlines under pressure and manage competing priorities.
  • Building business relationships based on trust.
  • Asset: Bilingual (English/French) verbal and written communication skills.
