Your Tasks and Responsibilities:
- Support and provide high level administrative support
- Organize and maintain diaries and schedules complex appointments and meetings
- Coordinate meetings, workshops, trainings, and other communication sessions including setup and support with regards to necessary preparation for those meetings (agenda, reserve conference rooms and equipment and coordinate catering services)
- Prepare presentations (including training), reports, statistical charts, and briefings
- Coordinate and establish all travel arrangements (hotels, flights, etc.), reconciling travel and expense reports
- Devising and maintaining office systems, including data management, filing etc.
- Assist in integration of new office technologies and systems as appropriate.
- Completes, collects, and checks documents for completeness according to given criteria
- Consolidates data from various sources in single presentations and documents
- Maintains confidentiality of all sensitive or proprietary information
- Assist in creating policies, processes, and documents
- Keep HR Intranet updated
- Assist in regular reporting and verification activities (e.g. tracking of action items, status, creating reports, follow-ups)
- Administer training campaign and assist in preparation of trainings
- Assist with keeping corporate documents up-to-date and administering “corporate housekeeping” activities
Your Qualifications and Experience
- Bachelor’s degree in Administration or similar
- Min. 3-5 years of experience in similar role
- Excellent written and verbal English
- Extensive experience in organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency.
- Has experience particularly in coordination & cooperation with multinational environment within the Gulf Region.
- Understand the required level of confidentiality that the job requires
- Excel in the usage of MS Office, specifically MS Outlook, Word, Excel and PowerPoint.
- UAE nationality is a must
