The role.
The role of Administrative Assistant to the Head of Operations encompasses providing extensive support to the Leadership Team while overseeing the office operations of the organization. This dynamic position demands a proactive approach, critical thinking skills, and the capacity to deliver solutions with a strong commitment to integrity and confidentiality.

This position reports to the Head of Operations and is based in New Kensington, PA.

In this role you will:

  • Efficiently manage calendars for key leaders, troubleshoot conflicts, and provide seamless day-to-day operations support.
  • Handle meeting logistics, prepare materials, and record minutes as needed.
  • Undertake diverse administrative tasks to improve leadership efficiency and coordinate team meetings.
  • Serve as a "gatekeeper," maintaining credibility within the Leadership Team, and lead office services.
  • Manage purchase orders, invoices, and assist in on/offboarding of new employees.
  • Provide event management, hospitality, and build lasting internal/external relationships.
  • Contribute to information research, media relations, and communication efforts.
  • Perform additional projects and duties for the overall benefit of the organization.

Your profile.

  • Bachelors or Associates Degree, in a relevant discipline such as Business, Communications or Marketing is preferred. HS/GED or equivalent experience is required.
  • 3+ years of confirmed experience is helpful.
  • Outstanding skills in MS Office Suite is required, SAP experience is preferred.
  • Outstanding communication skills are required.
  • Validated ability to multi-task while maintaining a professional demeanor.
  • Demonstrated ability to preserve the confidentiality of information.

The pay range for this position is $50,300 - $93,300. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications, and premium geographic location.
