Marketing & Communications Coordinator

Role Overview
Reporting to the Sr Media & Communications Manager, the Marketing & Communications Coordinator will be responsible for supporting all marketing and communications functions in the Americas across all departments, in all administrative paperwork as well as logistics. Primary responsibilities of the role will include purchase order management, new vendor onboarding, and overall marketing operational support. This role has a broad exposure to all facets of the marketing function.
Responsibilities (or Mission)
· Budget Management:

· Support the Marketing department with the monthly, quarterly and annual budget reviews through partnership with key budget stakeholders to ensure accurate and timely submissions
· Principal user and key stakeholder for the budget management process, assisting in the identification and resolution of anomalies and contributing to improved ease of use for the department
· Support cross-departmental teams with SAP vendor onboarding, PO creation, invoice submission and tracking, and sourcing form/bid levelling documentation to ensure timely response to vendors and partners
· Implement improvements to budget management processes for individual teams, focusing on enhancing transparency through the creation and maintenance of new trackers and streamlined billing processes
· Ensure all activities adhere to established financial best practices, flagging any potential deviations
· Media & Press Relations

· Ensure accuracy and upload of media specs and artwork to partner outlets
· Manage and collate monthly media reports for local and HQ stakeholders

· Assist with product loans for press shoots and celebrity dressings inclusive of loan documents, consignment of timepieces, coordination of pick-ups and returns
· Events
· Support in creating event collateral (invitations, menus, signage)
· Coordinate event-related mailings (invitations, gifts, press kits)
· Help manage guest lists, RSVPs, and dietary requirements
· Organize event materials and support onsite when needed
· Maintain internal documents (ROs, seating plans, image selects)
· Strategic Planning Support

· Support the building for ad hoc decks and/or presentations. This involves deriving captivating ways to visualize information from various sources to create clear and concise presentations that communicate key findings and recommendations.
· Support team meetings, workshops, and alignment sessions to facilitate collaboration.
Qualifications

· Proficient computer skills with a high level of competence in Microsoft suite, especially EXCEL and PowerPoint
· Exceptionally detail oriented with excellent organizational and multi-tasking skills
· Excellent written and verbal communication skills
· Experience with SAP a plus
· Must be able to lift up to 45 pounds
· Able to work minimum 4 days per week in the NY office

Expected Salary Range: $28.85 - $33.65
Salary will be determined based on relevant skills and experience.
