Job Description
Role: People & Culture Administrator - 10 week temporary contract
Purpose of role:
To provide administration support to the People & Culture Administration Function responsible for the retail strand of the business.
Location: Reading
Key Responsibilities:
Recruitment
· Creating and Issuing accurate offer letters and contracts to all management new starters including short offer letters
· Creating and issuing accurate contracts to all management transfers, promotions, extensions and flexible working requests
· Request employment references and follow them up in a timely manner
· Personnel files administration
· Creating Training & Development (T&D) plans and delivering them to the relevant stores within specified timeline
· Administration of temporary manager's contracts
· Producing information for Starters, Movers, Promotions Newsletter
· Pre-event administration for Assessment Centres
· Update New starter log
Learning and Development
· Issue new starter pack including Management Development Programme (MDP) manual
· Create and issue MDP Reports and Charts to stores on periodical basis
· Sent invites and confirmations to store personnel attending training courses
· Allocate any pre-course work as appropriate
· Order and organise refreshments for all training courses
· Book hotel accommodation for delegates on request
· Create and issue after course evaluation questionnaires
· Coordinate and arrange for the training room and materials required for all internal and external courses
· Check the probationary period and MPD requirements have been successfully completed for probationary rise and/or on promotion to DM level
Employee Relations
· Respond to Data Access Requests within the legal deadline
· Produce ER related reports in timely manner
Human Resources Management Systems
· Maintain and review employee and training records on the Workday database
· Raise purchase orders as required accurately and in timely manner
· Set up validations assessments via Questionmark
Operations
· Practise and adhere to company policies and administration procedures
· Maintain a high level of confidentiality and diplomacy
· Work collaboratively with the People & Culture Team
· Demonstrate flexibility and willingness to learn
· Develop own capability by using all available resources to learn and achieve targets
· Take responsibility for achievement of personal goals
· Administer weekly management payroll adjustments in accordance with payroll deadlines
· Issue the Certificate of service for ex management employees as and when required
· Deal with Daily Post on a rota basis
· Update the team Movements by specified weekly deadline
· Complete Period reports accurately
· Manage and deal with any queries in the People & Culture Admin inbox on a daily basis
· General administration Duties
· Ad hoc HR projects
· Any other duties assigned
Skills/Knowledge/Experience:
· Proven administration skills
· Ability to plan, prioritise and organise own work workload
· Strong eye for detail
· Experience and competence with Microsoft Office Packages Excel, Word and Outlook – intermediate level
· Excellent team player
· Strong communication skills
