Admin Assistant

Job Description

Purpose of role:  A key role within Brand Communication, responsible for assisting in the management of budgets, raising PO’s, forecasting and auditing expenditure to all trading entities.

Reports to: Group Cost Manager           

Role Type : 1 year FTC

Key Responsibilities

Finance Administration
·  Responsible for raising Purchase Orders for all costs associated with the Brand Communication Team, working with the internal Primark PIAT system to capture all necessary data to be used for financial reporting
·  Managing PO requests for Primark’s 11 entities
·  Manage and maintain the cost report by documenting all information in regards to Purchase orders and invoices on a daily basis
·  Liaise with Brand Comms and Accounts Payable to answer any costing queries resolving issues on a timely basis
·  Liaise with suppliers on all financial aspects 
·  Resolve general queries between Finance and Creative
New Store Administration
·  Maintaining a critical path board by obtaining key information from team leads responsible for VM equipment
·  Maintaining stock levels of minor VM equipment and ordering when applicable
·  Maintaining stock levels of fitting room tags and ordering from supplier when applicable  
General Administration
·  Manage team office movements and updating the intranet movements system
·  Carry out general administration as required  
·  Optimise morale through effective communication and promote a positive work environment
·  Develop own capability by using all available resources to learn new systems and procedures and achieve targets 
·  Take responsibility for achievement of personal goals  
·  Experienced in an administration role
·  Educated to GCSE standard with Maths and English essential
·  Intermediate IT skills to include Excel, MS Word and Outlook
·  Accurate with good attention to detail
·  Good written and spoken communication skills
·  A flexible approach to work and be capable of handling multiple priorities in a fast paced environment
·  Confident, pro-active organized and professional attitude
