Your tasks and responsibilities

The National Administration Coordinator provides support to the Kuehne + Nagel U.S. organization on centrally managed programs related to expense management, office services and various other national programs. The position is also the main point of contact within the Jersey City office management team for local vendors, property management and local employees.

• Daily support for employees in national expense management system including creating new hire accounts, change reporting structure, updating charge codes, disabling accounts etc.
• Provide national, regional, branch or departmental analytics and support for expenses as requested
• Ensure all expense reports follow U.S. policy and acquire proper internal approval for all out of policy expense.
• National support for U.S printer fleet including primary point of contact for vendor in conjunction with local branch management
• Primary point of contract for toner Management including ensuring toners are not exchanged prematurely, confirming page count meets expectations, ensure delivery and service are executed as per contract
• Coordinate and support the transfer of all equipment and installations to the end user client
• Upload new users via FTP from internal employee database on a weekly basis to national travel vendor database
• Review and approve all miscellaneous items ordered within the US with national office supply and electronic vendors
• Office Space Management - key contact for space optimization and/or furniture, working closely with managers to support the successful development and implementation of projects schedules
• Manage office space including but not limited to building tickets, kitchen equipment, data ports and power ports
• Manage contractors and associated services and systems (Security, Fire, Construction, Painting, movers etc.)
• Act as designated tenant manager for the 18th, 19th & 20th floor (building updates and requests, COI updates, vendor access report, cleaning, security)
• Oversee local office phones including troubleshooting problems, system maintenance, setup of new phone lines, bridges, hunt groups etc.
• Process national monthly invoice for printers, business conferencing, expense management system etc.
• Backup mail room attendant and receptionist when needed and miscellaneous administration request from employees as needed

Your skills and experience

• One to three years of previous office management experience preferred
• Past Experience with expense management or national systems administration a plus
• Familiarity with MS Office.
• High School Diploma or equivalent required
