Job description
The Facilities Coordinator will support with daily office management for the Jersey City office as well as support national administration functions. Responsibilities include local oversight of office supplies, invoicing for multiple vendors, act as main point of contact for business cards and conference call vendor in addition to supporting the national administration team.
Your tasks and responsibilities
· Provide assistance for various administration requests to NYC employees; inclusive of but not limited to issue and terminate security badges, building issues, conference rooms, order FedEx envelopes, etc.
· Maintain office floor plans and provide upon request.
· Order office supplies as needed.
· Maintain Training records and certificates in line with company guidelines.
· Implement new suppliers and oversee account for national conference call vendor(s).
· Process invoices through company accounting system in an accurate and timely manner.
· Oversee and place orders for business cards for all US employees.
· Oversee and track utility costs.
· Assist with Mailroom and reception duties (breaks, vacations etc.)
· Various Administration projects as needed.
Your skills and experience
· 1-3 years of office administration experience preferred.
· Must be able to complete assignments independently and within assigned deadline.
· Proficient with Microsoft Office.
· Must be able to work in a collaborative team environment and be organized.
· Bachelor's degree a plus.
