We are currently seeking a high calibre professional to join our team as an Events Coordinator, Hong Kong, CIB Marketing .
Principal Responsibilities
Role Purpose
· To provide administrative and operational support for Events team
· To maintain smooth day-to-day office operations
· To provide conference, roadshows and event management support to the Global Banking Markets locally, regionally and globally, as required
Principal Accountabilities
Impact on the Business/Function
· Senior management and key business stakeholders / directors require timely, accurate and relevant access to its’ key client base and competitors at numerous events and conferences – both internal and external
· Provide advice and support to senior management and the business on the most efficient and cost effective way to achieve maximum meeting/ presentation opportunities with clients
· Act as central/liaison point between business areas, external clients and organisations regarding our involvement and participation at proprietary and third party events
· Ensure constant adherence and maintenance to pre-agreed budgets, cost measures and record keeping
· Ensure all events as led are run in professional manner, ensuring such events are seen as high quality events and do not result in serious reputational damage to the bank
· Ensure all deliverable across regions are carrying the same standard disregarding physical location
Customers / Stakeholders
· Ensure all events as run to the highest standards. These events to be aligned with the business direction to establish HSBC's profile as the leader in the industry
· Establish a world-class hospitality / event experience globally
· Identify new / creative opportunities for the business as required
· Build and maintain good relationships with various business teams to understand their needs and requirements
· Build and maintain good relationships with various suppliers to ensure all logistic and production requirements can be met
· Build and maintain good relationships with other business partners locally, regionally and globally
Requirements
· Experience in managing and developing conference, roadshow and event, especially on deal and non-deal roadshows, investors trips, corporate days, preferably in a global banking industry
· Ability to lead large scale events autonomously when required
· Excellent communication, interpersonal and relationship skills as well as good tact and diplomacy
· Ability to work with minimum supervision, under pressure, extreme tight timeline as well as on multiple tasks simultaneously and to cover projects across different time zone
· Experience within a hectic and pressurised working environment is preferable
· Self-initiated to resolve issues
· Committed to the completion of work tasks within timeline given
· Self-motivated, enthusiastic and proven rapid learning capability
· Excellent time management and prioritisation skill
· Strong team player, cooperative, collaborative with positive, willing to learn and share attitude, embracing HSBC value and code of conduct
· Ability to liaise with business to formulate appropriate and appealing event programs
· Experience in managing budgets for individual events
· Good connection with suppliers on venue, transportation, premier gift and audio visual
· Good project management skills
· Have flexible approach to work and working hours
· High standard of spoken and written English and Chinese, fluency in Mandarin will be a plus
· Proficiency in Microsoft Office (Word, Excel, Powerpoint and Outlook)
· Ability to travel when required
· A sound working knowledge of key issues and developments in activities around FCC and ABC matters
