Job description

The Opportunity:
  This is a fantastic opportunity for an Administration Assistant to join a growing team here at EY.

Your Key Responsibilities:
 
Billing
·  Management of daily billing process for Private Client Services Teams
·  Running of reports to identify cases to be billed
·  Adjustments to systems to ensure correct bill is run
·  Production of fee note for client
·  Production of credit notes where applicable

·  Management of regular billing process for Consultancy Team
·  Management of spreadsheet for internal billing tracking
·  Production of bespoke fee notes for clients
·  Other ad hoc exercises to aid with billing process
·  Production of credit notes where applicable

·  Oversight of People Advisory Services Team billing
·  Tracking of internal billing
·  Cross reference of expected billing with actual and management of differences
Client Acceptance and Engagement Agreement Preparation:
·  Dealing with initial receipt of request for engagement procedures to commence
·  Completion of Engagement Agreements for Manager review
·  Set up of clients during engagement process on relevant systems
·  Track outgoing and incoming Engagement Agreements and initiate reminder process
·  Ensure all Quality and Risk Management procedures are met
·  Provide administrative support to management team on firm’s/department’s procedures
·  Keep up to date with changes to client acceptance procedures and consider best practice at all stages
Admin Mailbox:
·  Deal with all requests in a timely manner
·  Ensuring appropriate requests are prioritised and allocated appropriately
Daily Post:
·  Ensure post is sorted, scanned and distributed to relevant teams
·  Incoming post from Newcastle to be monitored, issues identified and resolved
PAS review pack printing and tax return pack scanning:
·  Printing of tax return bundle and backing data for management team review
·  Scanning to relevant system(s) of final pack
·  Updating of Administration Module in respect of the above
Mail merges :
·  Organisation and printing of mail merges to department requirements
·  Liaising with FM Team to ensure appropriate stationery available for each merge
General support:
·  IT Team
·  Provide ad hoc support to department as necessary
·  Ownership and updating of local “backup” laptop
·  Ad hoc tasks for IT Team as required

·  FM Team
·  Cover for local FM Team when required
·  Handling visitors
·  Liaison with contractors
·  Management of post in/out process
Skills and Attributes for Success:

·  Excellent attention to detail
·  Ability to anticipate issues and problem solve
·  Strong interpersonal skills and the ability to communicate effectively with a wide variety of individuals, both internally and externally

To Qualify for the role you must have:
 
·  Solid Excel skills
·  Office Administration experience
