Position Description:

The Administrative Assistant (SMO Coordinator - Associate Consultant) will offer administrative support to operations and various stakeholders, helping to alleviate the workload of leaders. This role includes scheduling appointments, managing access, tracking activities, facilitating communication, and performing other tasks efficiently, with a strong focus on quality and effective time management. The role may be shared across engagements with similar project and skills requirements.

Your future duties and responsibilities:

• Perform administrative tasks such as but not limited to the following, Creation of minutes of the meeting and action items, Tracking of mandatory trainings, Data consolidation, Processing of Service Orders, Client Visit and Travel Support, Procurement and Logistics, Access Management, Risk and Issue Management, and Data Analysis
• Identify communication needs, preferences and channels for different stakeholder groups. Ensure timely and accurate delivery of information through proper channels. Create clear, concise, and relevant messages tailored to the audience. Protect sensitive information and manage it in accordance with privacy regulations.
• Implement processes and procedures to ensure smooth transitions between tasks and phases. Coordinate with all stakeholders to ensure timely completion of activities. Manage schedule for tasks, milestones, and deliverables. Implement best practices and standards to achieve efficient and effective coordination.
• Track the progress of tasks and activities against schedules and plans. Manage and maintain records of communications, decisions and actions taken.
• Ensure that documentation is accurate, up-to-date and accessible. Develop a reporting strategy that defines what information needs to be reported, the frequency of reports and the intended audience. Ensure reports are clear, concise and formatted according to organizational standards.
• Implement and maintain management processes such as request fulfillment and administrative tasks.
• Conduct regular reviews to identify areas of improvement.

Required qualifications to be successful in this role:

• At least a vocational Diploma, Short Course Certificate Undergraduate, or Bachelor’s/College Degree in any field, referable in Business Management or Finance.
• At least 1 year relevant work experience in administrative support, project management, back office and secretarial function, or similar work
• Excellent communication skills, both verbal and written
• Knowledge of project management tools, techniques and best practices.
• Strong organizational skills to keep track of open requests, deadlines, and follow-up actions.
• Amenable to work on a day/midshift schedule and hybrid working arrangement in Mckinley, Taguig
