In order to continuously maintain the company at this high standard of efficiency the Administration & Customer Service Officer will ensure a best in class service towards customers, intermediaries and account managers with respect to the procedures and obligations in place.
As a member of the Operations team the Administration & Customer Service Officer reports to the Operations Manager. She/he is in constant contact with customers, business contributors and both internal and external partners of the group (AXA IM Group, Custodian bank).
She/he is responsible for ensuring a high quality of services to the end clients and business contributors (bank agents
and brokers), following and improving the company’s internal processes, involvement in the company invoicing process, participating in the management reporting and company’s operational and financial projects.
Your roles and responsibilities:
- Perform regulatory checks and pre-evaluate new customer and intermediary contracts
- Follow-up of customer acceptance process and relations with Custodian
- Follow-up and validate financial operations on customer portfolios
- Verify the update process of the portfolio management system and database and perform routine reconciliation checks
- Single Point of Contact for the invoicing process for intermediaries and related tax inquiries
- Provide support for the company’s CRM system, client and intermediary applications
- Work on continuous improvement of operational processes and systems
- Respond to the final customer, intermediaries and sales team over the phone, by e-mail and ordinary mail for overall inquiries
- Reporting to AXA Group entities and the regulator
- Participation in the management reporting
- Involvement in finance and operations related projects
- Involvement in transversal/international initiatives
Desired profile
Qualifications :
Your qualifications and experience:
· Bachelor degree
· Experience in the financial world
· Experience in using computer software (Microsoft Office, Salesforce)
Your knowledges and skills:
· Bilingual Dutch/French – Good knowledge of English
· Good knowledge of Microsoft Office suite
· Basic knowledge of accounting and VAT principles
· Computer literacy
· Focus on customer
· Accuracy in task performance
