Job description
Job Summary
· You will provide accurate and timely administrative support for Thailand, Malaysia and Singapore (TMS) Medical team based in Singapore.
· Working with internal & external stakeholders for creating and implementing project plans for related medical events (e.g. liaising with hotel, procurement, legal and other departments for contracts)
Key Duties and Responsibilities
The scope of duties and responsibilities includes but is not limited to:
1. Events & Projects Co-ordination
· Develop and execute plans required to support any TMS Medical event or initiative as appropriate, especially in communications, vendor management, contractual requirements, confidentiality agreements, logistical and registration support, processing payments and honorariums for participants, onsite meeting / administrative support for internal and external events, including WebEx meetings, etc.
· Effectively manage and track important timelines for projects, programs, events, etc.
· Take minutes during project meetings with required follow up actions
· Initiate request via internal system & follow through till approval stage for events/services e.g. eAED, eCAF, ePR, eBuy, eVMF, eHAT, Zinc etc.
· Work with internal & external stakeholders to create and implement project plans for events
(E.g. liaising with hotel, legal, compliance and procurement departments for contracts)
· Prepare various SOP forms for the department, for example,
· Purchase Requisition (PR) and Purchase Orders (PO)
· Invoice and payment request for all A&P expenses
· Occasional travels to support major TMS Medical meetings / events if required
· Monitor project budget utilization and ensure that project budget is on track
· Prepare monthly TMS medical projects dashboards for reporting purpose
2. Admin Support
· Effectively manage documentation and filing of communications, materials, reports and documents to support ease of retrieval and sharing of information
· Assist in new hire onboarding and off-boarding
· Provide support on any ad-hoc project assignments as required from time to time
Education Qualification
· Diploma or Bachelor’s Degree in Life sciences including Pharmacy or Science
Experience & Knowledge
· Minimum 5 years prior related experience in events co-ordination from multinational companies
· Experience in the healthcare or pharmaceutical industry
· Extensive event coordination experience in the medical affairs function
