The Position

Role Summary:

We seek a Senior or Principal Administrative Business Partner to join our Translational Medicine (TM) team, partner with and provide support to the VP of the TM OMNI department (OMNI = ophthalmology, metabolism, neuroscience, immunology). Translational Medicine supports the clinical development of our novel therapeutics by generating scientific insights into the molecular mechanism of action. Job Responsibilities:

  • Partner with the VP of TM OMNI and the leadership team on day to day needs
  • Independently manage complex scheduling across various time zones
  • Manage executive management levels stakeholders with a high level of confidentiality  
  • Manage the scheduling of senior committee meetings, global summits and department offsites
  • Assist with planning, organization, and execution of large-scale meetings that might entail the added complexity of managing schedules across multiple time zones with internal and/or external key stakeholders
  • Independently lead the planning & execution of meetings at Congress events, Global Summits, etc (venue & speaker selection, technical AV requirements, catering, agenda setting, contract management)
  • Contribute to the management in departmental gSites, Currents, websites, newsletters, etc. (collect content, distribute information)
  • Process and manage vendor/speaker engagements, contracts and payments, etc., including RFP/Vendor selection
  • Submit facilities, IT and Site Services requests
  • Coordinate collecting and implementing feedback for communications when applicable
  • Partner with leader(s) to create team agreements
  • Serve as thought partner with TM OMNI leadership to assess employee engagement, gauge informal pulse checks, share ideas for enhancing engagement
  • Manage complex candidate/recruiting process
  • Work with extended ABP team on administrative components and logistics of department onboarding/offboarding
  • Keep up-to-date on cSuite changes and organize trainings for team and/or other admins in department
  • May manage other administrative business partner(s)

  • Exercises judgment and discretion of sensitive and proprietary information
  • Experience training staff on departmental systems, processes, and other general or administrative tools
  • Proven track record of meeting or exceeding objectives and goals
  • In depth knowledge of cSuite Tools (including gMail, gCal, gSheets, gSlides, Trello, Jamboard, gMeet, ZOOM)
  • Actively seeks to inform, promote and instruct others with innovative tools that enhance efficiency and productivity 
  • Requires a significant amount of keying and moussing. Ability to accommodate extended periods of computer use to meet business operations needs.
  • Presently reside in the San Francisco Bay Area and have the ability to work in the South San Francisco office.

Education and experience

  • BS/BA degree or equivalent industry experience
  • Minimally 3 year (Senior) 5 years (Principal) of relevant administrative, operations or project management experience
  • Previous work experience in Roche/Genentech or the pharmaceutical industry is preferred

Relocation benefits are available for this job posting.

The expected salary range for this position based on the primary location of California is $80,000- $150,000 (Senior Admin Business Partner) and $91,000-$169,000 (Principal Admin Business Partner). Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.  A discretionary annual bonus may be available based on individual and Company performance.  This position also qualifies for the benefits detailed at the link provided below.
