You will be responsible for a wide range of administrative duties supporting the Vice President & Head of Pharmaceutical Technical Development, US Biologics (PTDU). As leader of the PTDU administrative team, you will also handle a wide variety of coordination activities to ensure a productive team environment and culture across the PTDU administrative community. As part of the leadership administrative staff at Genentech, and of the PTDU LT, you be responsible for working collaboratively across organizational boundaries to support Genentech and PTD LT leadership. You will handle with confidential and time sensitive material in a fast paced, dynamic, and sometime global setting. Your experience and professional judgment will be essential in planning and executing projects, planning off-sites, town hall meetings, celebration events, and other activities to create a great place to work. You are often the first representative of the PTDU organization others will meet, so a warm, friendly and professional demeanor is important. You will provide key partnership to the Head of PTDU and contribute to his/her effectiveness through your ability to multitask, organize, plan, anticipate, engage, and prioritize with minimal direct supervision.

Administrative responsibilities includes:

·  Creating and maintaining PTDU org chart at the PTDU LT and eLT level
·  Managing electronic calendar, scheduling & global meeting management including coordination and preparation of telepresence, videoconference, teleconference meetings and meeting materials as appropriate
·  Creating, editing presentations, spreadsheets and word documents, proofreading and compilation of special reports
·  Uploading and maintaining PTDU Intranet as appropriate
·  Handling correspondence and shared electronic filing system
·  Making travel arrangements including international ones.
·  Preparing expense reports.
·  Initiating and managing purchase orders and contract processes including PO, invoices and payment tracking.
·  Arranging various recruiting activities such as on-site interviews.
·  Coordinating meeting and conference arrangements, planning off-sites, town hall meetings, and organizing catering.
·  Coordinating and planning the biennial PTD Asilomar Conference.
·  Attending the PTD administrative team meetings to ensure alignment, awareness of new business processes, and create a sense of community.
·  Delegating various departmental administrative responsibilities and supporting the growth and development of the PTDU administrative team.

·  Leads and/or coordinates special projects critical to effective administration of the organization, including projects related to communications, training, giving, employee engagement, scheduling, purchasing, etc.

Requirements:

·  Associate Degree or higher and 15+ years administrative experience. BA/BS degree preferred
·  Executive assistant skills/background or equivalent with experience supporting high-level senior management or equivalent work experience in a fast paced atmosphere, Genentech experience preferred
·  Ability to work independently and in teams including on projects requiring complex planning
·  Demonstrated ability to take initiative, prioritize and follow though
·  Executive presence and ability to maintain confidentiality
·  Interest in and willingness to learn about cultural differences in order to work in a global environment
·  Excellent interpersonal skills, enjoys helping others
·  Demonstrates strong organizational abilities and a high attention to detail
·  Demonstrates strong written and oral communications
·  Flexibility required to succeed interacting at the executive level in a dynamic organization; must remain calm under pressure.
·  Ability to effectively use and learn technology including meeting and productivity tools
