The Role

The purpose of the role and your unique contribution is to provide efficient and effective administrative support and coordination for Country Manager, ensuring the ways of working are optimized by working closely with leadership, making a difference and collaborating with other support functions and Enabling team.

For your role to make a difference, you will be well organized, flexible, thorough and self-motivated, have the ability to work with minimal supervision, exhibit expert levels of written and verbal communication skills and demonstrate continuous attention to detail. Overall, the role is accountable for building strong relationships within the immediate team, across the Roche  business, and with internal/external stakeholders.

Key Responsibilities

  • Daily support and management of the schedule for the Country Manager (CM); meeting/event coordination and logistics.

  • Coordinate and manage travel arrangements for the CM where required (booking tickets/hotel/transportation/process related payments, expenses and invoices in a timely manner).

  • Assist colleagues to maintain relevant files and documentation where required.

  • Effectively manage key internal and external stakeholders with exemplary corporate etiquette, tact, diplomacy, and professionalism

  • Event Management and wider team administrative support when needed.

  • Arrange meetings, including booking rooms, catering, tele/video conference facilities

  • Preparation of management reports, and various ad hoc reporting requests.

  • Preparation of meeting agendas, minute taking and follow up/tracking of action items

 

Skills & Experience

  • Experience working as a Personal Assistant in a fast-paced environment

  • Quick thinking with a proactive nature focused on delivering positive outcomes

  • Active listener and curious mind-set; looking to learn and understand the ‘why’

  • Self-directed, self-motivated, and confident in taking ownership of responsibilities.

  • Understanding of working in a commercially sensitive environment.

  • Proficiency to work with a high level of confidentiality.

  • Ability to work autonomously and use initiative to drive success.

  • Excellent time management skills and attention to detail, with a high degree of accuracy

  • Flexible and agile mindset, able to juggle competing and changing priorities

  • Work collaboratively, with a willingness to help and take on responsibilities

  • Act in a professional manner, with honesty and an integrity

  • Proficient in English and Russian language
