We're looking for an Executive Assistant and Events Coordinator to join Roche Romania Diagnostics who will perform a variety of general administrative services. The candidate will be required to both take direction and work intuitively to support the completion of the department's goals and objectives in a professionally and culturally appropriate manner.

The position:

·  Coordinate the administrative activities in an effective, up to date, and accurate manner by providing support to Country Manager and leadership team
·  Coordinates office functions and provides administrative support to the business entities, including regulatory activities
·  Works cooperatively with all team members to support the achievement of work plan activities designed to achieve identified goals and objective
·  Performs clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the Country Manager
·  Organizes business itineraries, conferences, meetings, internal and external events
·  Coordinates and organizes meetings and conferences including meeting venue bookings, catering requirements, sets up the room with audio-visual equipment and flip charts and tends to other requirements of department meetings
·  Conducts in-depth researches to collect relevant data and compiles reports, also confirming the data via outbound calls, if necessary
·  Communicates upwards and documents on any appropriate business related issue
·  Builds and maintains effective professional working relationships with internal/external partners and stakeholders
·  Coordinate and monitor events with healthcare stakeholders, local and sub regional events
·  Handles other job related responsibilities and tasks assigned by the superiors

You, as an ideal candidate, will have the following skills, experience and education:

Education

·  University Degree, preferably in Foreign Languages/ Business Administration/Public Relations

Experience

·  At least 2 years of experience as executive assistant, event management and internal communication.
·  Good knowledge of English and Romanian, both written and spoken.
·  Good knowledge of Microsoft Office suite: Word, Excel and PowerPoint, SAP knowledge (desired)
·  Event organization in a highly regulated and compliance environment
·  Leadership team agenda management

Key competences

·  Strong organizational and project management skills and the ability to handle multiple, competing projects simultaneously to meet tight deadlines, with outstanding attention to detail
·  Demonstrate proactivity, greater agility and stringent prioritisation while keeping a good balance
·  Demonstrated ability to build and maintain relationships with both internal and external stakeholders including executives.
·  Excellent written and oral communication skills, with the ability to engage and work closely with a wide range of staff and board members
·  Ability to work collaboratively and effectively in a fast moving work environment
·  Self-motivated, spontaneity, positive attitude.
