Administrative Assistant Product Development Medical Affairs (PDMA)

The Established Product Development Medical Affairs (PDMA) Team is an integral member of Product Development (PD) and a strong and aligned partner of Global Product Strategy (GPS). We are developing and driving an industry leading Medical strategy in close collaboration with our affiliate partners - being enthusiastically committed towards our Medical Affairs vision: Transforming clinical practice.

The Administrative Assistant of the PDMA team provides administrative and clerical support to the assigned Team members. Facilitates communications with a broad range of internal and external customers and acts as a hub for general requests involving the Team members.

In this role, you're main tasks will be:

·  Organization and coordination of internal and external meetings. These include team meetings, video, teleconferences, Telepresence and meetings with iHCP (Healthcare professionals) following compliance guidelines
·  General secretarial administrative tasks, such as correspondence and presentations, using MS Office
·  Travel and meeting organization worldwide in collaboration with the in-house travel centre and/or external parties if needed
·  Coordinate interviews worldwide and assists new employees with Introduction program
·  Acts as a contact person for general requests involving the department (such as moves, office set-up/allocations, etc.)
·  Collects and provides tool/information to aid managers/team members. Recommends and makes suggestions, but no decision-making role

You bring the following qualifications, skills and qualities:

·  Several years of working experience (preferably in a similar position or in event management, agency or travel agency)
·  Fluent in written and spoken English. Able to communicate in German (Other languages are an asset)
·  Basic understanding of Pharma industry
·  Good knowledge of software applications (MS Office and Outlook)
·  Strong planning, interpersonal and communication skills
·  Strong empathetic and flexible team player
