Role Overview
Watchfinder & Co. is the ultimate global destination for buying and selling pre-owned luxury watches. We’re on an exciting mission to accelerate our online and in-store presence, helping even more customers find their perfect timepiece. Given our ambitious growth plans, we’re looking for a Purchasing Support Coordinator to join our Aftercare team in the US.
As Purchasing Support Coordinator, you’ll be at the heart of the client journey to sell a watch, owning the process once it arrives at Watchfinder. You’ll guide private sellers through inspection, authentication, and final offer stages, ensuring a smooth, transparent experience. Working closely with our Sales & Purchasing team, the U.S. Purchasing Manager, Logistics teams and our expert service center, you’ll help ensure every offer is accurate, timely and delivers an outstanding client experience.
Responsibilities
Customer Support & Enquiry Handling
· Act as the main point of contact for private sellers once their watch has been received by us for inspection and authentication, communicating via phone, email, and online enquiries.
· Guide customers through each stage of the valuation journey, including providing assistance identifying models where needed.
· Clearly explain any discrepancies such as condition, age, missing boxes or invalid papers, and provide revised quotes as needed.
· Deliver transparent, easy to understand explanations around servicing fees, valuation adjustments and next steps in the selling process.
Case resolution
· Work closely with Watchfinder’s authentication and inspection teams to resolve issues such as model mismatches, significant wear, or potential counterfeit concerns.
· Share customer feedback on final offers with the U.S. Purchasing Manager, and when appropriate, revise offers or provide more detailed justifications to the customer.
· Coordinate return shipments for customers who decline their final offer or for cases where Watchfinder chooses not to proceed, including liaising with legal teams for restricted or counterfeit items.
· Partner with local and Head Office Finance teams to resolve any payment-related issues, ensuring timely completion of the sale and a smooth experience for the customer.
Final Pricing & KYV Compliance
· Support the Purchasing Manager with issuing final offers to customers in accordance with policies.
· Ensure full compliance with U.S. Know Your Vendor (KYV) legislation by:
· Requesting and securely collecting valid customer identification before issuing a final offer.
· Reviewing documentation for completeness and accuracy.
· Clearly explaining KYV requirements to customers and offering reassurance around data privacy.
· Escalating any irregularities to our legal teams.
Qualifications
· 2+ years in a customer-facing role, ideally within e-commerce, luxury goods, or resale operations.
· A customer-first mindset and the ability to deliver exceptional service in a fast-paced environment.
· Outstanding communication skills—confident on the phone, empathetic via email, and calm under pressure.
· Demonstrate an empathetic and proactive problem-solving approach to resolving customer issues and complaints.
· Highly organized with excellent attention to detail and the ability to manage multiple customer cases simultaneously.
· Experience handling sensitive data and compliance processes (KYV or KYC) with discretion and accuracy.
· Able to work effectively within your team and beyond to ensure a consistent and high quality customer experience.
· You’re a team player and are willing to support your colleagues with other tasks as and when needed.
· Experience of working with contact management systems such as Zendesk would be a benefit.
· Interest or experience in the luxury watch space is a plus.
