Job description

MAIN PURPOSE

To assist the Distribution Manager in leading and managing the Shipping Admin Team (Import/Export) in the day-to-day operations to meet/exceed Brands’ logistical needs and requirements in an efficient and cost-effective manner.

KEY RESPONSIBILITIES:

 

·  Outbound Shipments

 

·  Tracking of all outbound shipments to ensure timely and accurate shipment execution and delivery.

 

·  Planning, co-ordinating and scheduling of export shipments to meet the stipulated timeline given

 

·  Maximize freight and related costs through scheduling and consolidation of export shipments

 

 

 

·  Inbound shipments

 

·  Ensure prompt and efficient delivery of goods to internal and external customers.

 

·  Process all Incoming Shipments to ensure that all IDN’s are interfaced

 

·  Prepare Shipment proper in GTS for transmission to Tradenet.

 

·  Ensure Permit declared is in accordance to the Singapore Customs regulations

 

·  Ensure all returns (inter-company & Export Wholesalers) are process on a timely basis.

 

·  Update and complete inbound shipment database daily, maintaining same on a weekly basis ensuring all details are completed.

 

·  Obtain or provide information to customers, airline/shipping lines and government agencies as required.

 

 

·  CITES Management

 

·  Plan and review buffer stock levels of re-export cites to regional markets

 

·  Improve cites recording and documentation flow

 

·  Maintain balance between buffer level and cost

 

·  Accounting of CITES purchases, issues and balances at the end of each month.

 

 

·  ATA Carnet Management

 

·  Application of ATA Carnet

 

·  Monitor all ATA Carnets for renewal and return status

 

·  Liase with Chamber of Commerce to resolve discrepancies and irregularities

 

·  Check and ensure ATA Carnets are correctly completed by customs

 

·  Ensure compliance to regional guidelines for ATA Carnet handcarry

 

 

·  Management of Forwarding Agents

 

·  Evaluate and review the performance and service of the forwarding agents

 

·  Assist in the sourcing, assessment and selection of forwarding agents

 

 

·  Security and Insurance

 

·  Arrange CIT for local and overseas transfer/shipment according to Transit Limits set by Group

 

·  Management of Claims Database

 

·  Provide monthly update of outstanding claims

 

·  Co-ordinate with service providers to organize the secured transportation for Brands events and photoshoots

 

 

·  Monthly Reports

 

·  Export shipment reports

 

·  Lead-time performance reports

 

·  CITES purchase and usage reports

 

 

·  Staff Management

 

·  Identify staff  training and development needs (internal & external training)

 

·  Team build, lead and motivate staff

 

·  Staff management and assessment (including recruitment, appraisal and development)

 

 

·  Key Performance Indicators (KPIs)

 

·  Ensure Targets and KPIs set are met or exceeded

 

·  Ensure stakeholders’ requirements and expectations are met or exceeded

 

·  Achieve above 3.5 for yearly satisfaction survey

 

 

 

REQUIREMENTS

 

·  Diploma in Logistics
·  Fluent spoken and written English.
·  Demonstrated leadership and team player
·  Able to work in a fast paced environment
·  Organised and detail orientated
·  Knowledge and experience freight forwarding (air freight)
·  Strong PC skills, expertise with Windows, MS Office. Knowledge in Tradenet and SAP is an advantage
