About the role

The Sales Coordinator is the engine room of the property's commercial team. Reporting to the Sales Manager, you will provide end-to-end administrative and commercial support to the on-property sales team across MICE & Groups, Corporate / Business Travel, and Leisure / Wholesale segments.

Equally important, this role carries an active calling responsibility — both reactive (handling and converting inbound enquiries by phone) and proactive (outbound calls to existing accounts, lapsed accounts, leads, and need-period activation), as directed by the Sales Manager and as the business needs.

You will work alongside the property's existing Groups & Events Coordinator as a peer in the support structure. The two roles complement each other: the Sales Coordinator covers full sales admin and active calling across Corporate, MICE enquiries, and Leisure; the Groups & Events Coordinator focuses on the execution of confirmed groups and events. The two roles support each other day-to-day, with priorities flexed by the Sales Manager as the business demands.

You will often be the first point of contact for many incoming enquiries, the custodian of CRM hygiene and contract administration, and the connective tissue between the sales team, operations, and reservations. The role is highly visible and offers a clear development path into segment sales roles within the Hyatt network.

Key responsibilities

• Manage incoming sales enquiries — corporate, MICE, and leisure — qualifying, routing, and responding within brand service standards. This includes confidently handling enquiries by phone (reactive calling) and converting where possible.

• Run proactive sales calling campaigns as directed by the Sales Manager — outbound calls to existing accounts, lapsed accounts, leads from trade shows and digital sources, and targeted activity to fill need-periods.

• Maintain a daily call activity log (calls made, decision-makers reached, outcomes, follow-ups) and feed insights into the weekly commercial meeting.

• Prepare and issue proposals, quotes, contracts, BEOs, and rooming lists with accuracy and Park Hyatt-level polish.

• Maintain account records, traces, and pipeline data in Opera and the property's sales & catering system (Envision, Delphi, or equivalent).

• Support the Sales Manager in preparing for client meetings, site inspections, sales calls, and trade shows — including pre-meeting briefs, call sheets, and follow-up actions.

• Coordinate site inspections and FAM visits end-to-end: scheduling, briefing operations, hosting where required, and post-visit follow-up.

• Pull weekly and monthly production reports, segment performance summaries, and account activity logs for the Sales Manager and broader commercial team.

• Partner closely with the Groups & Events Coordinator on the hand-over of confirmed group and event business — ensuring contracts, BEOs, rooming lists, and special requirements pass cleanly from sales into events execution.

• Liaise with Operations, F&B, Banqueting, Front Office, and Reservations to ensure smooth handover and flawless execution of confirmed business.

• Maintain sales collateral, fact sheets, and proposal templates in line with current Park Hyatt brand standards.

• Support RFP season — loading, documentation, and follow-up under the direction of the Sales Manager.

• Provide general commercial admin support to the sales team as required.

Qualifications :

What we're looking for

• 1–2 years in a hotel sales coordinator, reservations, or sales administration role at upscale or luxury level. Strong recent graduates from a recognised hospitality programme, with internship experience at upper-upscale or luxury hotels, will be considered.

• Hospitality management qualification preferred.

• Excellent attention to detail — accurate, structured, and comfortable juggling multiple deadlines without dropping the ball.

• Strong written and spoken English; clear, professional, and polished communication style.

• Confident on the phone — comfortable handling inbound enquiries with poise, and equally comfortable making proactive outbound calls to corporate, MICE, and trade contacts. Sales calling experience is a strong advantage.

• Working knowledge of Opera and at least one sales & catering system (Envision, Delphi, or equivalent) is a strong advantage.

• Solid MS Office skills — particularly Excel, Outlook, and Word.

• Service-oriented mindset, with the discretion, warmth, and grooming expected of a Park Hyatt team member.
