Job Description:
As an Executive Assistant at Hyatt Regency Kyoto, you will be responsible for the following duties:
- Managing and coordinating the General Manager’s schedule
- Handling visitor and telephone reception
- Preparing for meetings and taking minutes
- Interpreting during meetings (English to Japanese and vice versa)
- Translating meeting materials and documents
- Corresponding via email and phone with both domestic and international contacts
- Handling guest room reservations and related services, including organizing sightseeing tours and restaurant reservations
- Collaborating with team members to manage and execute various projects, ensuring effective delegation and teamwork
- Preparing and filing various documents
- Providing comprehensive support to the General Manager in all aspects of their duties
Desired profile
Qualifications :
Required Qualifications:
- Business-Level English Proficiency: Capable of handling reading, writing, conversation, and translation tasks without issues (TOEIC score of 850 or equivalent)
- High-Level Japanese Proficiency: Able to handle business correspondence, conversation, and translation fluently in Japanese
- Secretarial Experience: At least 2 years of secretarial experience, preferably as an Executive Assistant or Secretary to a General Manager
- Interpreting and Translation Skills: Experience in interpreting during meetings and translating documents (English to Japanese and vice versa)
- Project Management Skills: Ability to work collaboratively with team members and delegate tasks effectively, ensuring smooth project execution
- Customer Service Orientation: Experience in handling guest reservations and coordinating related services with a strong focus on hospitality
- Computer Skills: Proficient in MS Office (Word, Excel, PowerPoint) and able to perform tasks efficiently
- Attention to Detail and Hospitality Spirit: Able to handle visitors and phone calls with courtesy and warmth
Preferred Qualifications:
- Experience in Foreign Companies: Experience working in an international hotel or company is highly regarded
- Flexible Thinking and Quick Response Abilities: Ability to handle diverse tasks with flexibility and adaptability
- Passion for the Hospitality Industry: Strong desire to build a career in the hotel industry and a commitment to personal growth
