Event Planner – Events Department

As an Event Planner at Grand Hyatt Barcelona, you will support the Events team in delivering seamless, high‑quality experiences for our group and event clients. From the moment a group is confirmed by Sales until their departure and final billing, you will help coordinate essential logistics, maintain clear communication, and ensure each event reflects the elevated service standards of the Grand Hyatt brand.
Responsibilities
· Coordinate key elements of group and event logistics, including rooming lists, room block monitoring, pick‑up reports, custom menus, and event details.
· Prepare accurate and timely Banquet Event Orders (BEOs) and supporting event documentation to ensure operational teams are aligned.
· Maintain proactive communication with clients during the planning phase, gathering details and supporting a smooth preparation process.

Assist in organizing VIP arrangements, upgraded accommodations, welcome amenities, and other guest experience elements.
· Collaborate with Banquets, Culinary, Housekeeping, Front Office, and AV teams to ensure event setups and services meet expectations.
· Send Medallia surveys post‑event and assist with gathering feedback to contribute to continuous improvement.
· Assist with event billing by reviewing charges, ensuring accuracy, and supporting timely invoicing.
· Offer flexible support to fellow colleagues and contribute to smooth day‑to‑day operations of the Events Department.
· Uphold Hyatt's commitment to warm, anticipatory, high‑quality service at every stage of the planning cycle.

Qualifications :
Qualifications
· Fluency in Spanish and English (spoken and written).
·
Minimum 3 years of experience in event management within the hotel industry, preferably with the MICE segment.
· Strong organizational abilities, attention to detail, and excellent administrative skills.
· Confident, professional communication style with a client‑focused mindset.
· Proficiency in Microsoft Word and Excel; Opera experience required.
· Ability to multitask effectively in a fast-paced environment.
· A proactive, collaborative attitude and a genuine passion for hospitality and service excellence.
