GE Vernova Canada is seeking an experienced Office Administrator to work in our hydropower division in the Niagara region of Ontario, Canada.
Your performance of the assigned duties is critically important to the successful execution of multiple major engineering, procurement, and construction hydropower projects.
Most importantly, you will be assisting Ontario-based project managers directing a EPC project team working from company offices located around the world.
Job Description
Day-to-day direction is provided by one or more project managers leading groups of projects at the same location in Niagara. The ability to discern and coordinate priorities among the projects and communicate constructively with the project managers is critically important. Among other duties, the work requires performance of the following activities:
· Compiling, editing, and proofreading information, memos, letters, data, and graphics for reports on progress, audits, budgets, plans and other project deliverables.
· Coordinating communications and facilitating connections across work groups located in different time zones. Establishing meetings, dispersing written documents, and coordinating activities such as document reviews, estimate reviews, transmittals, record storage, travel, site visits, site access clearances, public, and social events with project stakeholders.
· Serving as the central point of receiving and distribution for incoming and outgoing communication from stakeholders such as the public, vendors, suppliers, clients, visitors, and other outside agents. Included are documents transmitted by email, fax, mail, delivery services, courier, and any other delivery methods.
· Coordinating deliveries, managing shipping documentation, and otherwise assisting supply chain representatives forming and administering purchase orders and subcontracts.
· Assisting finance, project control, and project managers with preparation and maintenance of invoices, payment schedules, accruals, ledgers, forecasts, certifications, document registers and similar financial documents to support commercial management of the project.
· Assisting project engineering managers preparing, maintaining, distributing, and tracking the status of technical documents and requisitions between project stakeholders.
· Assisting contract and supply chain managers administration of major agreements and prime contracts including correspondence generation, tracking responses, and maintaining records.
· Securing maintaining organization charts, personnel records (hiring, timecards, pre-employment screening, payroll, benefits), injury / illness / upset reports
Required Qualifications
· Bachelor's degree from an accredited university or college, or 6+ years as an Administrative Assistant or equivalent experience in Customer Service, Operations, Finance or Projects.
· Must be organized and efficient, able to complete tasks as committed without unreasonable rework.
· Must be able to navigate competing priorities, strong personalities, and demanding clients.
· Verbal communication skill and emotional intelligence must enable forthright discussion of what can be done in the time available vs. what must be completed by firm deadlines.
· Must be proficient in developing presentations, spreadsheets, and other written documents using the Microsoft Office Software Suite of software products.
· Must be discreet and able to identify, protect, and prevent disclosure of confidential and sensitive information.
· Authorization to work in Ontario Canada is required.

· Experience working on utility projects with high levels of public interest.
· Experience working in public-private partnerships, joint ventures, or client offices.
· Awareness of project control, quality assurance, and quality control principles and tools.
