Position Description:

The Corporate Secretariat & Legal Affairs team has an opportunity for a Legal Coordinator interested in combining strong organizational and people skills with the ability to coordinate a wide range of corporate legal activities in support of CGI's global Legal, Security and Privacy organization. As part of a fast-paced multinational environment, the Legal Coordinator will support governance, compliance, documentation, and administrative processes across Canadian, U.S., and international entities.

Your future duties and responsibilities:

Reporting to the Director, Corporate Secretarial Services, the Legal Coordinator will support the achievement of our business objectives by ensuring effective administration of legal documentation, corporate filings, and organizational governance. The successful candidate will collaborate closely with legal colleagues, corporate services teams, and external partners.

Your responsibilities will cover all areas of corporate legal administration, including:

Corporate Documentation & Execution
- Manage signatures, DocuSign workflows, and execution packages. Coordinate notary, consulate, and apostille requirements. Prepare OMF certifications and other documentation for RFP processes

Corporate Filings & Compliance Management
- Oversee Canadian and U.S. corporate filings and coordinate with our agents. Manage Calura filings and monitor country‑specific corporate compliance obligations. Handle financial statements tool to ensure process 

Record Keeping & Governance Support
- Maintain Canadian and U.S. corporate minute books. Update and track organizational charts. Assist with preparation and distribution of board materials. Support director travel and expense administration

Systems & Tools Administration
- Serve as primary contact for Englobe and various trackers. Maintain team records and legal documentation repositories

Administrative & Operational Support
- Provide administrative support (calendar, expense reports, etc.) to the Vice-President and General Counsel, Americas and Asia Pacific, and Deputy Corporate Secretary
- Manage timesheets, travel arrangements, expenses, IT coordination, and onboarding for the legal team. Review and approve billing related to Canadian and US corporate filings

Required qualifications to be successful in this role:

- 5 years of experience in administration or a related coordination role.
- Excellent ability to write, revise, and edit professional documentation in English and French.
- Strong organizational skills with high attention to detail and accuracy.
- Demonstrated discretion handling confidential information.
- Ability to maintain strong working relationships with internal stakeholders, executives, and external partners.
- Intermediate to advanced skills with Microsoft Office, including Word, Excel, PowerPoint, and SharePoint.
- Experience managing corporate filings, governance documentation, or compliance workflows. - Ability to work across multiple priorities and projects in a fast‑paced environment.
- Knowledge of document execution processes, certifications, and corporate record keeping is an asset

Education and Certification
College Diploma (DEC) or equivalent relevant experience in a legal or administrative role.

CGI is providing a reasonable estimate of the pay range for this role. The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is $50,000–$100,000. This role is an existing vacancy.

Bilingualism (French and English) is required for this position due to the nature of the role requiring interaction with national and global clients.
