Job description
We are seeking a Senior Personal Assistant to support the Head of Corporate Development and CEO Office, located in London.
Your Team
You will be part of a dynamic and collaborative team that supports strategic decision-making at the highest level. You will ensure smooth operations and effective communication within and outside the organization.
The Impact You Will Have
Your role will be pivotal in enhancing the efficiency and effectiveness. By managing diary commitments, travel arrangements, and communications, you will contribute to the seamless execution of strategic initiatives and projects.
Some of Your Specific Responsibilities Could Include:
Managing busy diary commitments, papers, and travel arrangements, including flights, hotels, visas, and personal bookings.
Producing a daily folder with diary, necessary papers, and troubleshooting any problems.
Filtering emails, highlighting urgent correspondence, and printing attachments.
Managing and maintaining the executive's diary and email account.
Coordinating travel and accommodation requirements and ensuring arrangements are in place for the executive.
Filtering general information, queries, phone calls, and invitations to the executive by redirecting or taking forward such contact as appropriate.
Liaising with relevant individuals and external organizations to arrange meetings, prepare agendas, and draft minutes.
Undertaking any other duties as requested by the executive.
What You'll Bring to the Role:
Demonstrable experience in an administration/assistant role in a highly pressurized environment requiring tact, judgment, and discretion in handling internal and external contacts (Minimum 3 to 5 years).
Proficiency in IT skills (Office applications): Use of general office application tools e.g., PowerPoint, Excel, Word.
Experience in diary management, researching, and booking travel and accommodation (Minimum 3 to 5 years).
Strong communication skills: Ability to clearly and effectively express ideas and messages via speech and writing.
Effective presentation skills: Ability to visually express and display thoughts and ideas using various tools.
Analytical skills: Ability to absorb information from various sources, analyze, study or examine data in detail, and draw appropriate conclusions.
Prioritization skills: Ability to filter information, assess priorities, and work independently.
A basic understanding of artificial intelligence (AI) and its potential applications in business is essential.
Required Education / Certifications:
Professional training or degree in Business Administration / Office Administration.
Bachelor’s degree (education level).
Private Secretary Certificate (certification level)
