Job description

As an M365 Mail Engineer, you are responsible for the operation, development, and support of our company-wide email infrastructure based on Microsoft 365. Your focus is on secure, reliable, and efficient email communication—from encryption to routing. You work closely with internal IT teams, business units, as well as external service providers and vendors to ensure stable and secure email communication.

Responsibilities

Operations & Administration

  • Management, maintenance, and development of the M365 email environment (Exchange Online, hybrid scenarios, Exchange Online Protection)
  • Administration of email domains, mailboxes, aliases, distribution groups, and email policies
  • Implementation and continuous development of security, compliance, and governance requirements in the email domain
  • Planning, coordination, participation, and monitoring of release and change management processes in the collaboration area with a focus on Microsoft 365 mail infrastructure (Exchange Online, Outlook)

Email Encryption & Security

  • Implementation, configuration, operation, and support of email encryption technologies (e.g., HIN, SEPPmail, S/MIME)
  • Management of certificates and encryption keys, ensuring high email security
  • Close collaboration with external partners and vendors for security updates, developments, and incident escalations

Routing, Gateway & Infrastructure

  • Planning, configuration, operation, and optimization of email flows, routing processes, and gateways
  • Operation and maintenance of email security gateways and appliances to ensure high availability and performance of email communication
  • Analysis, troubleshooting, and optimization of delivery and routing issues
  • Participation in troubleshooting and analysis of email-related network issues (e.g., SMTP, DNS, firewall)
  • Close coordination with network and security teams to optimize overall infrastructure and integrate new email solutions

Support, Monitoring & Incident Management

  • Handling incidents, service requests, and support cases in 2nd and 3rd level support
  • Monitoring and proactive surveillance of the entire email infrastructure, including early detection and resolution of disruptions
  • Escalation and collaboration with vendors and service providers (e.g., SEPPmail, HIN) for complex issues
  • Creation and maintenance of technical documentation, operation manuals, and knowledge databases

 

Data Access & Permissions

  • Restricted data access on SEPPmail: Only the sender, recipient, and subject of emails are visible—contents are not accessible.
  • In the context of a support case (incident analysis), remote access to the user's personal computer can be granted with explicit consent from the affected user (e.g., for troubleshooting in Outlook).
  • Administrative activities are conducted according to the least privilege principle and exclusively through authorized service accounts and within a defined authorization process.
  • No access to productive or confidential content of Allianz Suisse without a formal process and corresponding approval (e.g., by HR, Legal, or Security).
  • Additionally, a confidentiality agreement can be signed if necessary to further ensure the protection of sensitive information.

 

Profile:

  • Completed education or degree in IT or a comparable qualification
  • Several years of experience in the operation of Microsoft 365 / Exchange Online
  • In-depth knowledge in the area of email security, encryption, and gateway technologies
  • Experience in email routing, DNS, SPF, DKIM, DMARC, and handling hybrid environments
  • Basic knowledge of network technologies (TCP/IP, firewall, DNS, SMTP protocol)
  • Analytical and structured work approach with a strong service orientation
  • Good communication skills and team spirit
