Job Description
Overview of duties
•Exceeds personal sales goals on a monthly, quarterly and yearly basis.
•Handles accounts and key prospects jointly with senior sales personnel.
•Solicits group, transient and/or banquet business through action plan preparation and execution.
•Within market driven parameters, quotes and negotiates prices, confirming by written contracts.
•Maintains positive relationships with all guests, vendors, colleagues and global sales network.
• To set up a proper filing system.
• To reply to emails of clients, queries , guest requests.
• Take appointments when requested by sales team.
• To participate and follow up on the regional sales and marketing meetings.
• To interact and coordinate activities with other departments related to sales and f&b.
• Respond to all reservation requests and incoming calls & e-mails in a courteous, efficient, professional and friendly manner in adherence to standards in absence account manager.
• Draft corporate & leisure sales contracts.
• Keep all the corporate profiles up to date and update all the corporate & leisure rates in the PMS.
• Maintain hotel’s database and keep it up to date.
• Update other departments on the VIP arrivals and ensure all necessary preparation has been taken by all concern departments.
• Collaborate with Sales, F&B, Revenue and room department.
• Update M&E calendar and manage M&E reservations.
• Conduct site inspections for potential clients.
• Issue BEO coordinating with organizer and F&B in charge.
• Keep records of sales plan and activities.
• Support Reservation team as & when require.
• Prepare reports as requirement by the management.
• Manage stationary supplies of Sales & Revenue .
• To assist fellow employees to perform similar or related jobs as and when necessary.
• Maintain accurate customer records, timely sales reporting and up- keep of the sales database.
• Achieve sales in the best possible conditions for the hotel and the company.
• To promote the hotel in particular and (or) more generally the hotels which belong to the chain in the same area.
• To secure both corporate and leisure business for the hotel maximizing yield and growing business from within these markets to meet budgeted revenue.
Main responsibilities
Customer relations
• Responsible for managing a selection of existing inhouse long stay guests.
• Highlight Ibis & Adagio brand and educate the bookers about our products, benefits and services.
• Conveys the image of the hotel.
• Empowers associates to provide excellent customer service.
• Sets a positive example for guest relations.
• Coordinates and communicates event details both verbally and in writing to the customer and hotel operations.
• Makes presence known to customer at all times during this process.
• Oversees his/her customer experiences from file turnover through the post event phase until turnover back to sales.
• Follows up with customer post-event. • Responds to and handles guest problems and complaints.
Professional techniques / Production
• Keep relevant industry associations up to date on Ibis & Adagio etc., Mailings/newsletters and attending industry networking events.
• Ensure that all sales leads are followed up or passed to the relevant hotel sales staff to follow up in accordance with time frames outlined in SOP.
• Take part in all Ines & Accor campus trainings. Maintains account, contact, activity and business details within Opera S&C according to Ibis & Adagio standards.
Upon closing, coordinates and follows up with convention services, catering and/or other hotel departments to ensure delivery of hotel's promised services Attends all sales meetings.
Management and administration
• Keep client files organized to team SOP standard
• Complete daily and weekly reports.
Hygiene / Personal safety / Environment
• Ensures that the workplace remains and tidy.
• Complies with hotel's health, safety and hygiene policy.
• Attends Hotel training programs as directed.
• To be fully aware and conversant of ISO9001 (for Ibis & Adagio Hotels) policies and procedures and is responsible to integrate them in the day to day operation.
• To understand and strictly adhere to the rules & regulations established in the employees handbook and the hotel's policy on fire, hygiene, health and safety.
